About the role
- Welcome visitors, partners and employees in person and by phone, and direct them to the appropriate contacts
- Ensure the cleanliness, organization and proper functioning of reception areas and shared spaces
- Manage receipt, sorting and distribution of mail and parcels, and report any irregularities
- Process purchase orders (creation, follow-up, compliance checks)
- Maintain administrative follow-up for service contracts and suppliers
- Support internal communications and distribute information to employees
- Design, produce and update internal communication materials (graphics, posters, invitations, digital assets) in line with Aroma‑Zone’s brand identity and tone
- Promote key company moments (events, QWL initiatives, internal campaigns)
- Support the organization and coordination of internal and external events
- Coordinate site- and event-related service providers (caterers, food services, coffee, water dispensers, various external services)
- Assist employees with organizing business travel and appointments
- Act as an operational point of contact between the company's physical sites (head office, shops, production or logistics sites)
- Organize and conduct site visits as part of new employee onboarding.
Requirements
- Education level: high school diploma to 2–3 years post-secondary education (Bac to Bac+2/3) in administration, communications, reception or equivalent
- Experience in a multi‑functional role combining reception duties with internal communications or events is a plus
- Proficient with office and collaboration tools (Office 365, Teams, SharePoint, etc.)
- Advanced proficiency in Canva and a strong interest in creating visual materials
- Excellent written and verbal French
- Fluent English required, both spoken and written, in a professional context
