About the role
- Coordinate event logistics including registration, travel, lodging, catering, shipping, and on-site support
- Maintain detailed project plans, timelines, and checklists for assigned events
- Support agenda execution and run-of-show documentation
- Manage speaker logistics, communications, and prep materials
- Coordinate with vendors such as venues, AV, production, and catering partners
- Track contracts, Pos, invoices, and payments in partnership with AP and Finance
- Support sponsor and partner deliverables as needed
- Manage event tools (survey monkey, FedEx, spectra, Vista Print)
- Track attendee data, session attendance, and engagement metrics
- Maintain organized event documentation and file organization on drives
- Provide on-site execution support including registration, speaker support and logistics troubleshooting
- Support virtual event execution as needed
- Act as a key point of contact during events days for operational needs
- Collect and organize post-event data and feedback
- Support post-event reporting and recap materials
- Document learnings and process improvements
Requirements
- 4+ years of experience coordinating events, meetings, or marketing programs
- Strong organizational skills and attention to detail
- Ability to manage multiple projects and deadlines simultaneously
- Excellent written and verbal communication skills
- Comfort working with cross-functional teams and external vendors
- Willingness to travel and support on-site events as needed
