About the role

Key responsibilities & impact
  • Work closely with the Managing Director and Director of Operations to support property-wide projects, initiatives, and operational priorities.
  • Track project timelines, action items, deliverables, owners, risks, and follow-up needs across multiple departments.
  • Serve as a central point of coordination to help ensure teams remain aligned and initiatives continue moving forward.
  • Prepare meeting agendas, notes, recaps, reports, presentations, and follow-up materials as needed.
  • Help organize and support leadership meetings, operational reviews, project updates, and cross-functional working sessions.
  • Follow up with department leaders and stakeholders to confirm progress, remove barriers, and maintain accountability.
  • Support communication between departments, including operations, food service, facilities, guest services, transportation, retail, recreation, human resources, finance, safety, and other site teams.
  • Help prioritize competing workstreams and ensure urgent needs are identified, escalated, and addressed.
  • Maintain project trackers, task lists, planning documents, calendars, reports, and shared operating tools.
  • Support administrative coordination for site leadership, including scheduling, documentation, communication, and operational follow-up.
  • Identify process gaps, communication issues, or execution risks and recommend practical improvements.
  • Help create structure around new initiatives, special projects, launches, property needs, and leadership priorities.
  • Build strong working relationships across the property and act as a professional connector between leaders and teams.
  • Maintain confidentiality, professionalism, and sound judgment when working with sensitive information.
  • Perform other duties as assigned.

Requirements

What you’ll need
  • Experience in project management, operations coordination, administrative support, business operations, executive support, hospitality operations, or a related role required.
  • Strong organizational skills with the ability to manage multiple priorities, deadlines, and follow-ups.
  • Strong written and verbal communication skills.
  • Ability to work directly with senior leaders and maintain professionalism, urgency, and discretion.
  • Ability to connect multiple people, departments, and priorities into clear action plans.
  • Strong attention to detail and ability to create structure out of ambiguity.
  • Proficiency with Microsoft Office, including Outlook, Excel, Word, and PowerPoint.
  • Ability to build relationships, influence without direct authority, and keep teams moving in the same direction.
  • Ability to work on site at Caprock Workforce Community outside Pampa, Texas.
  • Ability to work a flexible schedule based on business needs.
