About the role
- Provides critical clerical and operational support to ensure seamless event execution and efficient functioning.
- Manages the flow of information between clients, conference services managers, and internal departments like housekeeping and food and beverage.
- Assist with creating and distributing BEOs, group resumes, internal communication flyers for associate events, and event reader boards.
- Acts as the first point of contact for event inquiries (both virtually and in-person), responding to leads and arranging appointments for the managers.
- Coordinates room setups, AV needs, and specialized vendor requests.
- Assists with on-site needs to include providing coverage for the conference services team during high-activity periods.
- Manages office phone line and voicemail, processes invoices, and maintains organized filing systems as well as a welcoming presence at the Conference Services desk.
Requirements
- 1-3 years of administrative or office experience, preferably within a hospitality or conference setting.
- Proficiency in Microsoft Office (Word, Excel, Outlook);
- Familiarity with hotel software like Delphi or Opera is highly preferred.
- Exceptional verbal and written communication skills for interacting with both corporate clients and internal staff.
- Flexibility to work varying shifts, including evenings and weekends, depending on the conference center’s event schedule.
