About the role

  • Provides critical clerical and operational support to ensure seamless event execution and efficient functioning.
  • Manages the flow of information between clients, conference services managers, and internal departments like housekeeping and food and beverage.
  • Assist with creating and distributing BEOs, group resumes, internal communication flyers for associate events, and event reader boards.
  • Acts as the first point of contact for event inquiries (both virtually and in-person), responding to leads and arranging appointments for the managers.
  • Coordinates room setups, AV needs, and specialized vendor requests.
  • Assists with on-site needs to include providing coverage for the conference services team during high-activity periods.
  • Manages office phone line and voicemail, processes invoices, and maintains organized filing systems as well as a welcoming presence at the Conference Services desk.

Requirements

  • 1-3 years of administrative or office experience, preferably within a hospitality or conference setting.
  • Proficiency in Microsoft Office (Word, Excel, Outlook);
  • Familiarity with hotel software like Delphi or Opera is highly preferred.
  • Exceptional verbal and written communication skills for interacting with both corporate clients and internal staff.
  • Flexibility to work varying shifts, including evenings and weekends, depending on the conference center’s event schedule.
