About the role

Key responsibilities & impact
  • Provide comprehensive operational and administrative support to the Veterans Health Administration (VHA) Office of Healthcare Technology Management (HTM)
  • Ensure the smooth day-to-day functioning of program activities
  • Support leadership and staff in coordinating meetings, managing communications, and maintaining organized documentation
  • Interact with a wide range of stakeholders, including program leadership, clinicians, technical teams, and government personnel
  • Schedule and coordinate meetings, prepare agendas and meeting materials, and document notes and action items
  • Manage correspondence, maintain program documentation and files, and support reporting and tracking activities
  • Coordinate travel and event logistics, support onboarding and administrative processes, and assist with the preparation of briefings, reports, and other program deliverables

Requirements

What you’ll need
  • High school diploma or equivalent required; associate’s or bachelor’s degree in Business Administration, Communications, or a related field preferred
  • 4+ years of administrative or operational support experience, preferably in a federal or healthcare environment
  • Demonstrated experience supporting program teams, leadership, or executives in a fast-paced, professional setting
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines
  • Experience scheduling and coordinating meetings, including managing calendars and logistics for multiple stakeholders
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools such as Microsoft Teams and SharePoint
  • Experience preparing meeting materials, taking detailed notes, and tracking action items
  • Strong written and verbal communication skills, with attention to detail and accuracy
  • Ability to handle sensitive information with discretion and maintain confidentiality
  • Experience managing documents, files, and records in an organized and accessible manner
  • Ability to work independently as well as collaboratively within a team environment
  • Experience supporting travel coordination, event logistics, or onboarding activities (preferred)
  • Ability to obtain and maintain a Public Trust clearance (or active clearance preferred)
