Program Operations Coordinator

About the role
Key responsibilities & impact- Provide administrative and operational support for monitoring and reporting program activities.
- Assist in maintaining data collection procedures and driving process automation to help the team meet internal and external stakeholder requirements.
- Assist the Manager in tracking program metrics, milestones, and performance across designated regions.
- Support the maintenance of data collection, analysis, and reporting procedures.
- Execute automated workflows and processes to improve efficiency and reduce manual work.
- Help prepare program result summaries to demonstrate impact to stakeholders.
- Support the maintenance and improvement of program management tools and deliverables.
- Assist in standardizing program deployment conditions across experts and regions.
- Manage document and version control, including shared folders, training manuals, and the Program Management handbook.
- Coordinate onboarding logistics and routine communication with external Experts.
- Track Expert invoices and maintain up-to-date cohort structures.
- Draft and organize agreements, including Statements of Work (SoWs).
- Serve as a key user and troubleshooter for Aii’s Made2Flow platform, supporting daily engagement with Brands, Facilities, and Experts.
- Support global program management across assessment, action plan creation and tracking/monitoring programs.
- Support ad hoc tasks and needs related to project implementation and operations.
Requirements
What you’ll need- Bachelor's / Master’s Degree; preferably in project management, environmental science or similar fields.
- Strong experience with Excel (analytics & modeling), PowerBI and other database/software management tools.
- Demonstrated ability to interact with stakeholders to obtain pertinent information for informed decision making by asking critical questions.
- Experience working remotely in global teams.
- Light to moderate travel for meetings.
- Interest in major global sustainability topics and desire to drive the environmental impact.
- Strong, organized and highly detailed project management skills.
- Demonstrated self-motivation, responsibility, maturity, patience, and curiosity.
- Fluent English - oral and written skills; other language skills are a plus (priority will be given to Vietnamese, Italian and Turkish fluency).
