About the role
Key responsibilities & impact- Develop and maintain workforce schedules for all active projects.
- Coordinate staffing assignments based on project requirements, employee qualifications, availability, and business priorities.
- Manage employee deployments, rotations, mobilizations, and demobilizations.
- Monitor project staffing levels and proactively identify resource shortages or surpluses.
- Adjust staffing plans in response to project schedule changes, client requests, delays, accelerations, or emergency coverage needs.
- Ensure all projects maintain adequate staffing coverage while maximizing workforce utilization.
- Coordinate weekly staffing reviews with Operations and Project Leadership teams.
- Maintain visibility into workforce capacity across all regions and projects.
- Maintain an accurate roster of employee qualifications, certifications, training records, and project experience.
- Match personnel to assignments based on technical expertise, certification requirements, leadership level, and development goals.
- Track employee availability, PTO, holidays, training commitments, and travel schedules.
- Assist with workforce forecasting and capacity planning efforts.
- Support employee development by identifying opportunities for advancement, cross-training, and leadership exposure.
- Ensure staffing decisions align with company goals and client expectations.
- Serve as a primary point of contact for field personnel regarding assignments, schedules, travel, and deployment questions.
- Build strong working relationships with field team members and operational leaders.
- Communicate schedule changes and staffing updates promptly and professionally.
- Support employee onboarding by coordinating initial project assignments and deployment logistics.
- Conduct regular outreach to field personnel to maintain engagement and awareness of upcoming opportunities.
- Promote a positive employee experience through proactive communication and responsiveness.
- Coordinate travel arrangements including flights, hotels, rental vehicles, and project mobilization logistics.
- Ensure field personnel receive timely travel information and assignment details.
- Track upcoming mobilizations and ensure all logistical requirements are completed prior to deployment.
- Assist employees with travel-related issues and coordinate resolutions when necessary.
- Work closely with vendors and internal stakeholders to optimize travel efficiency and cost management.
- Maintain accurate workforce data within scheduling and HR systems.
- Generate weekly, monthly, and quarterly staffing reports.
- Track workforce utilization, project coverage, staffing trends, and employee deployment metrics.
- Develop and maintain dashboards that provide visibility into workforce allocation and project staffing.
- Collaborate closely with Project Managers, Project Directors, Recruiting, Human Resources, and Learning & Development teams.
- Support recruiting efforts by identifying future hiring needs based on projected workload.
- Assist leadership with workforce planning strategies to support business growth.
- Participate in operational meetings and staffing reviews.
- Contribute to process improvement initiatives related to scheduling, workforce management, and operational efficiency.
Requirements
What you’ll need- Associate's Degree or Bachelor's Degree in Business, Operations, Human Resources, Project Management, or a related field preferred.
- Minimum 3 years of experience in workforce scheduling, operations coordination, logistics, project support, or resource planning.
- Strong proficiency with Microsoft Office Suite, particularly Excel, Outlook, Teams, and SharePoint.
- Excellent organizational and time management skills.
- Strong verbal and written communication abilities.
- Ability to manage multiple priorities simultaneously.
- High level of professionalism and confidentiality.
- Strong problem-solving and decision-making skills.
- Preferred Experience supporting field-based workforces.
- Experience within construction, commissioning, engineering, mission-critical facilities, manufacturing, aviation, telecommunications, utilities, or similar industries.
- Familiarity with workforce planning software, BambooHR, Power BI, scheduling tools, or ERP systems.
- Experience coordinating travel and logistics for distributed teams.
- Understanding of project-based staffing models.
