About the role
- Deliver first class customer service in line with AMR’s services delivery and client’s objectives (outlined in the workplan)
- Delivers operational support for educational offerings, conferences, meeting, and events for internal as well as external clients.
- Serve as project manager for client events/educational programs – providing oversight for Basecamp and task execution in line with the event’s critical path and leads Project Team meetings for regular internal checks.
- Lead Risk Management evaluation and analysis for all client events and offerings.
- Assist in the development and maintenance of event budgets, including monitoring expenses according to budget, maintaining financial processes, establishing billing and credit arrangements, and requesting payments for event-related expenses.
- Develop, lead and conduct the site selection process in line with AMR’s core processes, including RFP drafting, development, deployment and analysis, site visits and preparing recommendations for assigned clients.
- Participate in evaluation of virtual/digital educational platforms to ensure alignment with client requirements.
- Evaluate and select providers of services according to client requirements while complying with AMR’s standard operating procedures.
- Research and recommend locations for offsite meetings and events, including unique venues.
- Meet with account teams and organizing committees to plan scope and format of in-person and virtual events, to establish and monitor budgets, or to review administrative procedures and event progress.
- Coordinate services for events in line with established goals/outcomes, such as room accommodation and transportation for participants, facilities (diagrams and venue set ups), catering, signage, displays, special needs requirements, printing, entertainment, and event security.
- Prepare for and manage exhibit hall programs (as needed), including exhibitor information, decorator research and relations, exhibitor evaluations and feedback, exhibit technology, etc.
- Monitor event activities to ensure compliance with applicable regulations and laws, satisfaction of participants, and resolution of any problems that arise.
- Partner with staff on site to execute the details and activities of the event.
- Develop and approve final copy documents (BEOs) specifying meeting requirements for each facility.
- Develop and approve AMR’s Orders of Business outlining the details of the conference or event for the AMR Team and support development for Run of Show documents, as needed.
- Assume an expanded supervisory role regarding conference and meeting volunteers and other staff as related to scheduling and assignments at conferences.
- Manages post-conference procedures including internal meetings, evaluation drafting, distribution and compilation, post-event report, and review of event bills for accuracy, and payment.
- Supports the Association Administrator in ensuring effective packing/unpacking and shipping of conference materials.
- Perform other duties as assigned.
Requirements
- Bachelor’s degree or commensurate experience required
- 5 years’ experience with meeting planning, event coordination for events of at least 350 attendees or more.
- Certified Meeting Professional (CMP) certification is preferred.
- Prior Association or Association Management Company experience a plus.
- Must be customer focused and able to deliver excellent customer service, at all times.
- Strong interpersonal and problem-solving skills, analytical and critical thinking abilities.
- Highly organized and precise with a keen attention to the details and is persistent in follow up.
- Strong project management and leadership skills.
- Strong communication skills – verbal, written, and presentation.
- Ability to work on multiple meetings/events simultaneously while retaining your sense of humor, level of accuracy and team spirit in a dynamic, deadline driven environment.
- Strong knowledge of Conference and Event Planning terminology and concepts, with a demonstrated ability to apply effective design to educational offerings and events.
- Ability to read, analyze and interpret manuals, legal documents, technical reports, professional journals, and industry/trade magazines.
- Innovative thinker with demonstrated ability to bring new and unique solutions to a rapidly changing industry.
- Proficient knowledge of Microsoft 365 and its applications.
- Ability to travel approximately 8-10 times per year to provide onsite conference support, ability to work evenings and weekends, as needed.
