About the role

Key responsibilities & impact
  • Manage a diverse portfolio of global multi-client projects of varying size, complexity, and deliverables
  • The primary focus is on managing Learning and Development events, eLearning products, and L&D strategy projects
  • Comfort being the expert in the room from an operational perspective
  • Confident leading multi-skilled, global teams through all stages of the project lifecycle, including high-pressure situations or tight deadlines
  • Create detailed and considered project plans using established templates and tools
  • Ensure key meetings are scheduled and delivered correctly
  • Manage and maintain project plans, project trackers, finance systems
  • Ensure project-related operational tasks are performed consistently and with accuracy
  • Ensure projects are kept on the right path and consider all eventualities by putting contingency plans in place and manage risks accordingly
  • Ensure projects are financially aware, have the most proper resource aligned, and deadlines are met
  • Ensure all deliverables are delivered in line with the approved statement of work and to an exceptional standard
  • Lead project kick-off calls and ensure all project stakeholders are clear on their roles & responsibilities
  • Communicate and present project information and updates to all levels of stakeholders
  • Build strong relationships with all internal and external stakeholders of all levels

Requirements

What you’ll need
  • Minimum of 3 years' experience in project management /life science event management ideally in a learning and development environment
  • 5+ years preferred
  • Experience in working in an agency environment desirable
  • Experience in working in a pharmaceutical environment strongly preferred
  • Reside in Eastern or Central time zone preferred
  • Occasional travel if needed
  • PMP qualification or equivalent preferred but not required
  • Exceptional planning, prioritization, and organizational skills
  • Takes pride in work and has impeccable attention to detail
  • Strong written and verbal communication skills with ability to build lasting relationships with internal and external stakeholders and confident in presenting to project teams and clients
  • Proactive attitude, takes ownership over projects, enjoys responsibility and accountability
  • Experience in using project management and ERP systems (Smart sheet, Workday, Microsoft project)
  • Willingness to work flexibly to fulfil client requirements and enhance project delivery
  • Proficient in the use of Microsoft Office packages, especially Outlook, Word, Excel and PowerPoint and digital meeting platforms
  • Strong financial acumen: Able to create, monitor and reconcile detailed budgets
  • Client-Centric approach: Builds trustful relationships, delivers exceptional client service
  • Adaptability: Comfortable in a dynamic environment with evolving client needs
  • Demonstrates composure and professionalism in high pressure situations and is able to adapt and proactively address shifting priorities when last-minute changes occur
  • Creativity: Thinks innovatively to ensure the best outcomes for external and internal stakeholders
  • Accuracy: Able to clearly follow processes and accurately enter data
