About the role

Key responsibilities & impact
  • Support Management in creating and maintaining the Electronic Document Management System (EDMS)
  • Establish and maintain document control procedures and processes, including document numbering, revision control, and storage
  • Receive and review incoming transmittals for accuracy and log incoming and outgoing documentation within the EDMS
  • Distribute documents to internal and external stakeholders according to the project communication plan
  • Ensure stakeholder feedback is received and communicated to document originators where applicable
  • Archive and electronically store documents according to company policies and procedures
  • Scan paper documents into digital format
  • Ensure documents are accessible and searchable
  • Maintain a Master Document Register containing drawings, specifications, procedures, and plans
  • Monitor project documentation due dates and produce exception reports on late documentation for Project Management review
  • Manage correspondence flow through proper transmittals and ensure outgoing documents have the correct revision, comply with the communication plan, and protect confidential and proprietary information
  • Work with IT to provide trusted third-party engineering vendors limited SharePoint access for information exchange
  • Contribute to project record documentation compilation and archiving
  • Create standard templates for documentation communication and digital records
  • Collaborate and communicate with project team members
  • Undertake other documentation-related tasks in support of the project

Requirements

What you’ll need
  • 5–10 years’ experience in a document control environment preferred
  • Experience within an engineering environment
  • Experience in EDMS development and implementation
  • Fluent English, verbal and written
  • Computer skills including email, PDF, MS Office, Teams, Planner, and SharePoint
  • Disciplined documentation and record-keeping skills
  • Ability to prioritize and delegate tasks
  • Flexibility and adaptability under adverse conditions
  • Ability to show initiative, good judgment, and resourcefulness
