About the role

Key responsibilities & impact
  • Perform varied administrative duties and designated administrative functions for assigned Executive
  • Maintain a close and highly responsive relationship with day-to-day work activities within the assigned function
  • Work independently under general supervision and guidance
  • Maintain strict confidentiality of executive plans, decisions, records, documents, and related information
  • Relieve the executive of designated administrative details
  • Exercise judgment and make decisions within the scope of authority
  • Stay informed about Company policies and practices relating to the executive office
  • Relay messages and instructions to subordinates and follow up on pending matters
  • Answer inquiries and screen telephone calls, visitors, and incoming mail
  • Direct technical inquiries to appropriate personnel and respond to questions
  • Compile and prepare correspondence and reports
  • Follow through on assigned projects using independent judgment
  • Inspect papers, Company documents, and calculations for accuracy and consistency
  • Establish and maintain document retrieval systems
  • Plan appointments, meetings, and travel arrangements
  • Maintain an accurate calendar

Requirements

What you’ll need
  • High school graduate or equivalent education and/or experience
  • Some college and/or office administrator training desirable
  • 5 years or more of diversified, thorough experience gained from work in various areas within the organization or similar administrative experience
  • Computer/PC competency
  • Experience utilizing general administrative office procedures and practices
  • Ability to support 2 busy executives
  • Heavy calendar management, including frequent and last-minute changes
  • Extensive domestic travel and occasional international travel
  • Sedentary physical demand level
