About the role

Key responsibilities & impact
  • Lead operations and administrative support for the Technology & Commercial Counseling team in Business Law
  • Assist with intake of new matters, including gathering and entering matter data, uploading documents, and generating forms from templates
  • Gather and distribute documents and information for attorney/paralegal analysis
  • Summarize relevant research and legal and business issues, including research and fact gathering
  • Propose and contribute to project milestones and set project timeframes, tracking deliverables against project plans
  • Assist with data and background materials for presentations, decks, reporting, and periodic functional-area reports
  • Plan and support in-person and virtual meetings, including agendas, scheduling, moderation, and action-item follow-up
  • Provide administrative support to functional-area leaders, including correspondence, calendars, notes, expenses, travel, printing, and materials
  • Proofread and format materials, provide PowerPoint support, and liaise with the communications team
  • Monitor shared mailboxes, triage requests, route communications, and propose responses to standard requests
  • Support matter-management and document-management practices, including intake, document organization, vendor billing, and fee arrangements
  • Help new team members acclimate to team and company operations
  • Collaborate with operations professionals across functional areas to coordinate matrixed Business Law support and improve department efficiency
  • Support department-wide document and file management, goal tracking, recruiting, onboarding, offboarding, professional membership rosters, licenses, and operational communications
  • Establish operational objectives, identify department-wide needs, coordinate tasks, and allocate work fairly across functional teams

Requirements

What you’ll need
  • Bachelor’s degree or equivalent experience required
  • 3+ years’ relevant experience required
  • Paralegal certificate advantageous, but not required
  • Strong understanding of core business processes, competitor/industry practices, and the assigned functional area
  • Understanding of department areas such as technology and contracting, related processes, and interfacing technology
  • Solid verbal and written communication skills, tailored appropriately to the audience
  • Ability to identify, analyze, clarify, and resolve complex or ambiguous problems
  • Demonstrated ability to work cross-functionally and influence change
  • Creative problem-solving skills
  • Experience with technology required
  • Intermediate to advanced computer skills with Microsoft 365, Adobe Professional, and other web-based applications preferred
  • Highly organized and detail-oriented, with a track record of identifying, prioritizing, and solving problems
  • Resourceful, reliable self-starter who maintains urgency with key deliverables
  • Ability to adapt to change and multitask in a fast-paced, deadline-driven environment
  • Strong commitment to ethics and integrity; discretion and confidentiality with sensitive information
  • Ability to work in a hybrid office environment, at least 2 days per week or as needed, in Chicagoland offices
  • Successful completion of a background investigation
  • Reliable internet with minimum speeds of 50 MB download and 5 MB upload when working from home
  • Dedicated, private workspace with appropriate desk and seating when working from home
  • Allstate generally does not sponsor individuals for employment-based visas for this position
