Administrative Assistant – Management of Changes
allnexAdministrative Assistant supporting Management of Change activities in global quality team at allnex. Coordinating processes and ensuring timely execution of MOC activities across multi-regional stakeholders.
About the role
Key responsibilities & impact- Coordinate and support Management of Change (MOC) activities by creating, maintaining, and updating MOC records, ensuring information is accurate, complete, and aligned with established processes.
- Partner with stakeholders across multiple regions to track progress, follow up on action items, gather required information, and help drive timely completion of MOC requirements.
- Maintain and improve process documentation, workflows, and system records, ensuring changes, roles, responsibilities, and supporting documentation are properly captured and archived.
- Monitor MOC performance and generate reports to identify process bottlenecks, resource constraints, trends, and opportunities for continuous improvement and increased process efficiency.
- Support the ongoing development and adoption of the global MOC system by providing administrative coordination, promoting process compliance, collecting user feedback, and contributing to quality and audit readiness initiatives.
Requirements
What you’ll need- Experience providing administrative support for business processes, process coordination, documentation management, or shared services operations within a corporate environment.
- Strong organizational, planning, and follow-up skills, with the ability to manage multiple priorities, maintain accurate records, and ensure timely completion of activities in a fast-paced environment.
- Excellent written and verbal communication skills, with the ability to build effective relationships and collaborate with stakeholders across functions, regions, and organizational levels; professional proficiency in English is required.
- Experience creating and maintaining process documentation, workflows, procedures, checklists, and other controlled records, with a strong attention to detail and process-oriented mindset.
- Proficiency in Microsoft Office applications, particularly Outlook and Excel, along with the ability to work with business systems and databases; experience supporting quality, audit, compliance, continuous improvement, or change management activities is an advantage, as is a willingness to learn new tools and technologies.
- Professional proficiency in English (written and spoken) is required, with the ability to communicate effectively and collaborate with stakeholders across different regions and functions.
- Bachelor’s degree in Business Administration, Industrial Engineering, Manufacturing, Operations, Quality, Supply Chain, or a related field is preferred.
- 1+ year of experience in an administrative, process coordination, quality, compliance, audit support, shared services (GBS), or business operations environment; experience with change management, quality systems, internal controls, or audit-related activities is considered an advantage.
