About the role
- Set up and manage event management platforms (RSVPs, guest lists, tracking)
- Coordinate speaker logistics (bios, briefing notes, scheduling)
- Liaise with embassies, venues, protocol offices, sponsors and partners, and AV and logistics providers.
- Track sponsor visibility and deliverables
- Provide virtual back-office support during live events
- Backstop project managers during peak event periods
- Audit existing event workflows and documentation
- Develop structured A–Z event checklists
- Develop reusable templates for invitations, speaker briefs, run-of-show documents, partner coordination materials, and post-event follow-up communications.
- Build and maintain a forward-looking annual event tracker
- Introduce AI-enabled workflows to improve efficiency and consistency
- Support implementation of recurring member communications
- Package communications around major global convenings
- Execute communications strategy in coordination with senior advisor
- Institutionalise event knowledge and Standard Operating Procedures (SOPs)
- Improve predictability and consistency across events
Requirements
- Experience in international event production, public affairs, or strategic communications
- Experience supporting complex events with senior stakeholders
- Experience in cross-cultural, multi-stakeholder environments
- Exposure to sustainability, finance, diplomacy, or international governance preferred
- Strong operational event management capability
- Experience with event management / CRM platforms
- Ability to design structured templates and repeatable systems
- Excellent written and spoken English (French desirable but not mandatory)
- Understanding of protocol-sensitive environments
- Highly organised and detail-oriented
- Structured and process-driven
- Stakeholder-sensitive and diplomatically aware
- Calm under pressure during event surges
- Proactive with strong ownership mindset
- Experience supporting CEO-level engagements preferred
- Comfortable operating in lean teams with evolving priorities
