About the role
- Develop, execute, and lead engagement strategies that strengthen relationships with healthcare providers and community partners in support of clinical research initiatives.
- Drive awareness of ongoing studies, support participant recruitment efforts, and ensure all outreach activities align with organizational goals and timelines.
- Collaborate with sites and patient liaisons to identify, research, and prioritize healthcare providers, specialty clinics, and referral networks aligned with active and upcoming clinical trials.
- Conduct ongoing outreach to physicians, NPs/PAs, office managers, and medical staff to introduce research opportunities.
- Maintain a regular cadence of follow‑up with HCPs to keep them informed, engaged, and supported.
- Partner with site teams and central recruitment to understand study protocols, inclusion/exclusion criteria, and ideal patient profiles to determine which HCP relationships to leverage.
- Translate study information into clear, compliant HCP‑facing materials (referral guides, visit overviews, eligibility summaries).
- Provide sites and patient liaisons with standard Alcanza and site materials to initiate HCP touchpoints.
- Collaborate with TCPs to request training/compliance support and ensure HCP referrals receive adequate follow‑up.
- Monitor referral quality and quantity to support site recruitment goals.
- Build relationships with local/regional organizations, health systems, and community clinics serving relevant populations.
- Identify and cultivate partnerships with community organizations, nonprofits, senior centers, cultural groups, advocacy groups, churches, and public health programs.
- Support site and patient liaisons in educating community partners about available clinical studies and their benefits.
- Maintain ongoing relationships through regular communication, check‑ins, and collaborative activities.
- Represent the company as a trusted resource and liaison within the community.
- Plan and coordinate community events, health fairs, informational sessions, and local gatherings to promote clinical research awareness.
- Assist with site‑led event initiatives as needed.
- Ensure event materials and messaging are compliant, appropriate, and available.
- Track attendance, leads, and follow‑up needs from each event.
- Track outreach efforts, follow‑up cycles, referral activity, and lead quality.
- Provide weekly email updates on trends, barriers, and opportunities for improving engagement.
- Schedule and lead monthly presentations with sites and patient liaisons to review studies, referral workflows, and referral tracking.
- Work cross‑functionally with recruitment and clinical operations to align messaging, collateral, and outreach campaigns.
- Maintain a database of community partners, event calendars, contacts, and outreach activity.
- Gather insights on community needs, barriers to participation, and opportunities to increase trust and engagement.
- Monitor performance metrics and recommend improvements to community strategies.
- Ensure all interactions comply with HIPAA, FDA, and GCP guidelines.
- Maintain trackers of provider lists, touchpoints, visit reports, and outreach schedules.
- Prepare regular reports for leadership summarizing performance against KPIs (provider outreach volume, meetings scheduled, referrals received, impact on enrollment).
- Collect and consolidate event recaps, KPI summaries, and reach metrics for leadership.
- Assist in building workflows that improve provider engagement and recruitment efficiency.
- Ensure all outreach activities comply with HIPAA, GCP, and company policies.
- Facilitate meetings with internal stakeholders and external partners to communicate progress, nurture relationships, and address issues.
- Perform all other duties as assigned
- May be required to travel up to 20% of the time, dependent on business needs.
Requirements
- A Bachelor’s degree in health administration, health sciences, business or related field AND a minimum of 5 years related experience, or an equivalent combination of education and experience, is required.
- Experience with community outreach, HCP/physician partnerships, and physician engagement is required.
- Must have established partnerships and demonstrated experience building strong relationships with physicians within the clinical trial space.
- Must possess a deep understanding of HCP marketing engagement strategies and have experience collaborating effectively with cross-functional teams on outreach activities.
- Experience working with clinical trial management systems (CTMS) is preferred.
- Bi-lingual (English / Spanish) proficiency is a plus.
- Proficiency with computer applications such as email, electronic health records, and basic applications.
- Ability to type proficiently (40+ wpm).
- Must possess strong organizational skills, attention to detail, and have basic math proficiency.
- Well-developed written and verbal communication skills. Bi-lingual (English / Spanish) proficiency is highly preferred.
- Well-developed listening skills and the ability to work well alone as well as in a team atmosphere.
- Ability to handle multiple tasks and changes in workloads and priorities.
- Ability to be professional, respectful of others, self-motivated, and exemplify a strong work ethic.
- Must possess a high degree of honesty and dependability.
- Ability to work under minimal supervision, identify problems and help find solutions.
- Ability to handle highly sensitive patient health information in a confidential and professional manner, and in compliance with HIPAA guidelines.
