About the role
Key responsibilities & impact- Plan and organize all phases of event pre-production, ensuring deadlines are met.
- Participate in briefings and support project planning.
- Convert briefings into clear action plans for internal teams and suppliers.
- Prepare and monitor schedules and budgets.
- Request quotes and negotiate with suppliers.
- Ensure materials, structures, and resources are available within established deadlines.
- Organize documentation, spreadsheets, checklists, and project records.
- Identify potential risks and anticipate solutions to avoid operational impact.
- Track the progress of requests with internal teams, clients, and partners.
- Prepare reports and project status updates.
Requirements
What you’ll need- Proven experience in event pre-production.
- Experience in marketing agencies, advertising agencies, or event production companies.
- Experience managing suppliers and negotiations.
- Organized, detail-oriented, and able to manage multiple projects simultaneously.
- Strong communication skills and ability to build relationships with clients and teams.
- Availability to work in a hybrid model, with presence in the Brooklin (São Paulo) area three times per week.
- Availability for meetings, site visits, and travel when necessary.
