About the role

  • Own and manage the annual event calendar, including external industry events and internal company-hosted events.
  • Oversee all pre-event logistics, including attendee lists, swag procurement, and booth requirements.
  • Coordinate social media coverage and email promotions related to events.
  • Design and execute post-event follow-up strategies to ensure timely lead distribution to the sales team.
  • Draft and manage Requests for Proposals (RFPs) and vendor registrations.
  • Create professional client proposals and manage the contract lifecycle using DocuSign.
  • Maintain and audit CRM data to ensure accurate reporting and actionable insights.
  • Ensure all sales collateral and templates are current and aligned with brand standards using Canva.
  • Draft and schedule email drip campaigns targeting prospective clients to support new business development.
  • Maintain a consistent and professional brand voice across all outbound communications.
  • Coordinate community partnership outreach and track stakeholder engagement.
  • Leverage AI and productivity tools to support meeting preparation and improve workflow efficiency.

Requirements

  • 2+ years in an administrative assistant or coordinator role, preferably within staffing or professional services.
  • Experience with CRM platforms (e.g., Bullhorn), Microsoft Office, Canva, and DocuSign.
  • Strong written and verbal communication skills, with the ability to craft clear, professional correspondence.
  • Excellent attention to detail with the ability to manage multiple priorities and deadlines independently.
  • Proactive, resourceful, and able to ramp up quickly with minimal supervision.
  • Professional, adaptable, and able to work effectively within a small, collaborative team.
