About the role

  • Assist with maintaining contractual and regulatory compliance requirements by working with Compliance team members to assess how they apply to AGIA’s business including AGIA, the carrier, the client, and the insured to ensure the company meets its federal, state, and contractual legal obligations.
  • Summarize the applicable requirements that identify potential risks and penalties and route to leadership.
  • Coordinate the annual regulatory mailings such as: Gramm-Leach-Bliley (GLB) and Health Insurance Portability and Accountability Act (HIPAA). i. Obtain the required notices, due dates and mailing instructions from the carriers. ii. Coordinate the printing and inserting of the packages. iii. Oversee and track the mailings. c. Complete Carrier and state required mailings such as: Annual Address Change and Eligibility reminder, Annual Secondary Addressee, monthly CA Auto Renewal Reminder, monthly MA Termination Notification with proof of Mailing. i. Run self-serve queries. ii. Coordinate with print vendor(s) as volume requires. iii. Print and send small volume mailings. d. Implement the Office of Foreign Asset Control (OFAC) and Patriot Act compliance initiatives. i. Review & validate work queue daily for New Business and Claims matches. ii. Coordinate and maintain the processes of screening every new business application and running and sending quarterly full file screening to AGIA’s OFAC vendor. iii. Gather and provide proof of screening as requested for audits. 2. Coordinate all Compliance & Partner Relations related inquiries and actions that are received in the Compliance@agia.com inbox. a. Support the Single Point of Contact Process (SPOC) by monitoring and logging items in the SPOC inbox and assigning them the appropriate internal resource for completion. b. Work with Compliance and Partner Relations team to answer or assign all received inquiries and requests. i. Maintain SPOC tracking log to ensure all assigned actions are completed. ii. Handle all reported fraud or security incidents per the defined processes. iii. Log all bulletins. 3. Work with Carrier and AGIA subject matter experts to ensure associate training modules are compliant. a. Coordinate creation and maintenance of all training modules by working with Corporate Training Department and Human Resources. b. Assign all required training modules to applicable associate within AGIA’s Learning Management system (LMS). c. Ensure that all assigned associates, new, and existing associates complete required training­­­ and reporting is archived per procedures. d. Organize and reply to all carrier required attestations. 4. Prepare client, carrier, and internal reports. a. Compile data from multiple sources to generate monthly, quarterly, and annual client reports. b. Create and implement tracking mechanisms to communicate status and follow up on internal support requests for queries and required data. c. Maintain Scheduled Carrier Level Reports and Calendar. Assist in any changes, troubleshooting, or maintenance of these reports. d. Gather and update monthly department reports. e. Appropriately maintain and understand the nature of sensitive, proprietary, and confidential client, carrier, and AGIA information. 5. Maintain Contracts/agreements. a. Monitor submission portal and complete process steps for all submitted fully executed agreements. b. Pull requested agreements from database. c. Produce monthly reports on volumes received. 6. Assist Compliance and Security teams with vendor management assurance.

Requirements

  • Bachelor’s degree or equivalent experience
  • Minimum one year of compliance or related experience in a regulatory environment
  • Minimum three years office experience, preferably in the insurance or financial services industry
  • Knowledge of HIPAA, GLB, OFAC; Insurance regulatory and legal requirements; corporate risk analysis; Auditing methodologies and best practices; Insurance licensing requirements
  • Intermediate proficiency in MS Office
  • Ability to interpret regulatory information and apply to company policies and practices
  • Strong written communication skills
  • Ability to work in a fast paced environment and changing priorities
