About the role
- As an Office Manager (m/f/d), your mission is to ensure a functional and pleasant working environment for all employees by systematically maintaining, organizing and coordinating the office infrastructure.
- You provide operational support to the Office Management team and play a key role in enabling our growing team to focus on their core tasks.
- Conduct daily inspection rounds, uphold professional standards of cleanliness and order, and restock consumables independently and proactively.
- Systematically research, evaluate and onboard suppliers for consumables according to ESG criteria, fair-trade standards and regional availability.
- Professionally prepare and follow up meetings and hospitality, including arranging catering, preparing rooms and providing beverages for internal and external guests.
- Monitor beverage and office supply inventories proactively and place orders in a timely manner to ensure continuous availability.
- Provide short-term cover on telephone duty when needed, support Office Management colleagues with project-related tasks and adjust your priorities situationally to meet changing requirements.
Requirements
- Initial practical experience in service-oriented roles such as office management, hospitality, catering, reception or comparable fields with an ability to work independently.
- Strong sense for professional standards in hospitality, room setup and guest care, and a polite, courteous manner toward colleagues and guests.
- Ability to convert fragmented operational tasks into reliable daily routines, adapt priorities as situations require and independently check that standards are met.
- Systematic supplier research and evaluation based on ESG, cultural and value-for-money criteria, plus proactive demand planning for consumables.
- Confident use of Outlook, Teams and Excel for calendar management.
- Fluent German and English (C1 each) for clear, friendly communication with colleagues, guests and service providers.
- Self-initiative, conscientiousness and flexibility, enjoyment of working with people and an open, positive presence that contributes to a pleasant office atmosphere.
