About the role
Key responsibilities & impact- Own executive calendar management, scheduling, inbox organization, and daily priorities
- Drive projects from kickoff to completion, ensuring nothing falls through the cracks
- Follow up proactively with team members, vendors, and clients until commitments are completed
- Handle administrative tasks quickly, accurately, and independently
- Coordinate meetings, agendas, notes, and action items
- Prepare reports, presentations, spreadsheets, and business documents
- Document processes and continuously improve operational systems
- Identify inefficiencies and implement smarter workflows
- Manage confidential information with professionalism and discretion
- Answer client and vendor calls with confidence and excellent communication
- Assist with occasional errands or special projects as needed
- Track project progress and KPIs, providing consistent updates to leadership
Requirements
What you’ll need- 3+ years in an Executive Assistant, Operations Coordinator, Project Coordinator, or similar role
- Experience supporting founders, executives, or business owners
- Exceptional organization, attention to detail, and follow-through
- Strong written and verbal communication skills
- Comfortable making decisions independently and solving problems proactively
- Able to juggle multiple priorities without sacrificing quality
- Tech-savvy with the ability to quickly learn new systems
- Experience with Google Workspace, Asana, Slack, Zoom, HighLevel (GHL), AI tools, spreadsheets, or similar platforms
- Real estate experience or familiarity with industry terminology is highly valued
- Fluent in both English and Spanish is preferred
