About the role

Key responsibilities & impact
  • Own executive calendar management, scheduling, inbox organization, and daily priorities
  • Drive projects from kickoff to completion, ensuring nothing falls through the cracks
  • Follow up proactively with team members, vendors, and clients until commitments are completed
  • Handle administrative tasks quickly, accurately, and independently
  • Coordinate meetings, agendas, notes, and action items
  • Prepare reports, presentations, spreadsheets, and business documents
  • Document processes and continuously improve operational systems
  • Identify inefficiencies and implement smarter workflows
  • Manage confidential information with professionalism and discretion
  • Answer client and vendor calls with confidence and excellent communication
  • Assist with occasional errands or special projects as needed
  • Track project progress and KPIs, providing consistent updates to leadership

Requirements

What you’ll need
  • 3+ years in an Executive Assistant, Operations Coordinator, Project Coordinator, or similar role
  • Experience supporting founders, executives, or business owners
  • Exceptional organization, attention to detail, and follow-through
  • Strong written and verbal communication skills
  • Comfortable making decisions independently and solving problems proactively
  • Able to juggle multiple priorities without sacrificing quality
  • Tech-savvy with the ability to quickly learn new systems
  • Experience with Google Workspace, Asana, Slack, Zoom, HighLevel (GHL), AI tools, spreadsheets, or similar platforms
  • Real estate experience or familiarity with industry terminology is highly valued
  • Fluent in both English and Spanish is preferred
