About the role

Key responsibilities & impact
  • Manage calendars, schedules, and appointments, ensuring efficient time management and coordination across different time zones
  • Organize, maintain, and update databases, contact lists, and internal records for media and partner tracking
  • Handle email management, including drafting responses, prioritizing messages, and ensuring timely follow-ups
  • Prepare reports, presentations, and documentation to support business and outreach activities
  • Coordinate meetings, including scheduling, agenda preparation, and minutes-taking
  • Monitor task progress, deadlines, and deliverables to ensure smooth day-to-day operations
  • Assist in streamlining administrative processes and improving workflow efficiency
  • Assist in researching potential media outlets, journalists, influencers, and brand partners
  • Support outreach campaigns by helping draft emails, pitches, and follow-up messages
  • Track outreach efforts, responses, and campaign performance using organized systems
  • Help coordinate brand collaborations and partnerships, including documentation and communication

Requirements

What you’ll need
  • At least 2–3 years of experience in an administrative, executive assistant, or coordination role
  • Experience in handling calendars, email management, and internal coordination
  • Exposure to PR, media outreach, or brand partnerships is a plus but not required
  • Strong organizational and multitasking skills with attention to detail
  • Proficiency in documentation, reporting, and database management
  • Strong research and data organization skills
  • Experience with productivity and collaboration tools (e.g., Google Workspace, project management tools)
