About the role
Key responsibilities & impact- Prepare reports, presentations and communications.
- Manage calendars, meetings, travel arrangements and expense reports.
- Coordinate services, purchase orders and vendors.
- Oversee office logistics and new employee onboarding.
- Manage documentation and administrative processes.
- Support cross-functional projects and monitor deliverables.
- Identify and optimize internal processes.
- Act as a liaison with internal and external stakeholders.
- Collaborate with facilities, security and maintenance teams.
- Participate in sustainability and employee well‑being initiatives.
- Ensure confidentiality and data protection.
- Modernize reception and office management practices.
Requirements
What you’ll need- 5 to 10 years of administrative experience.
- Excellent organizational skills, ability to multitask and strong attention to detail.
- Proficiency in Microsoft 365.
- Bilingual in French and English (spoken and written) required.
- Excellent communication and customer service skills.
- Professionalism, reliability and rigor.
- Assets: experience in event coordination or client reception.
- Knowledge of access control systems or ticketing tools.
