About the role

Key responsibilities & impact
  • Prepare reports, presentations and communications.
  • Manage calendars, meetings, travel arrangements and expense reports.
  • Coordinate services, purchase orders and vendors.
  • Oversee office logistics and new employee onboarding.
  • Manage documentation and administrative processes.
  • Support cross-functional projects and monitor deliverables.
  • Identify and optimize internal processes.
  • Act as a liaison with internal and external stakeholders.
  • Collaborate with facilities, security and maintenance teams.
  • Participate in sustainability and employee well‑being initiatives.
  • Ensure confidentiality and data protection.
  • Modernize reception and office management practices.

Requirements

What you’ll need
  • 5 to 10 years of administrative experience.
  • Excellent organizational skills, ability to multitask and strong attention to detail.
  • Proficiency in Microsoft 365.
  • Bilingual in French and English (spoken and written) required.
  • Excellent communication and customer service skills.
  • Professionalism, reliability and rigor.
  • Assets: experience in event coordination or client reception.
  • Knowledge of access control systems or ticketing tools.
