About the role

Key responsibilities & impact
  • Review customer purchase orders and complete order, transportation, packaging, legal, and financial forms
  • Audit forms and orders to confirm terms, conditions, allowances, and costs
  • Support ADW programs, maximize sales, understand Costco objectives, and build relationships
  • Develop relationships with Costco ICSs and ABs
  • Create and submit invoices through the Costco accounting portal
  • Provide correct high-resolution photos for e-commerce items and add items to Instacart
  • Review CCI and meat certificates for traceability and complete customs paperwork
  • Coordinate with Customs Brokers on inspected cross-border loads
  • Complete Canada registration and Blue Bin/Stewardship forms
  • Assist with Walk Global account setup for shipping standards in Japan, Korea, and Taiwan
  • Complete annual certificate renewals
  • Coordinate with PPD and FOB carriers regarding load status and depot appointments
  • Communicate Costco currency exchange rate changes to associates and clients
  • Schedule vendor demos and ensure materials are available on site
  • Collaborate with BM and AMM groups on promotion contracts and confirm event actuals
  • Handle member complaints, queries, and replacement-part shipments
  • Maintain vendor reports, vendor and item setups, item specification files, pricing forms, AII files, and SLH files
  • Meet weekly with Business Managers to review vendors and support tasks
  • Provide backup coverage for the Business Manager desk
  • Assist with vendor and Costco meeting preparation, live meetings, and note taking
  • Create buydocs, item agreements, and new item setups
  • Maintain the regional promotion calendar and Costco organizational chart
  • Purchase and deliver samples and assist with monthly competitive shopping

Requirements

What you’ll need
  • High School Diploma/GED
  • 2+ years of business process solutions, customer service, and/or office administrative experience preferred
  • Proven food broker experience preferred
  • Experience may be substituted for some of the above education
  • Strong interpersonal, organizational, and administrative skills
  • Strong communication skills with vendors, customers, and team members
  • Proficiency in computer systems and MS Office, including Word, Excel, and Outlook
  • Ability to multitask and solve problems with strong attention to detail
  • Ability to protect and secure confidential and proprietary information
  • Ability to perform advanced math calculations involving unit-of-measure conversions, pricing, product weight, Tie x High, and multiple currencies
  • Ability to lift materials and equipment weighing less than 15 pounds
  • Ability to view a computer monitor for more than 30% of working time
  • Personal protective equipment may be required
