About the role
Key responsibilities & impact- Support the domestic Project Management team by overseeing the administrative, documentation, and scheduling lifecycle of assigned projects.
- Work closely with domestic Project Managers to ensure objectives are met on time, within budget, and to required standards.
- Attend virtual pre-bid and project meetings to take notes and provide administrative support.
- Review project documentation within 48 hours of sale to outline scope and administrative requirements.
- Draft agendas for Pre-Construction meetings to ensure smooth coordination and communication.
- Submit all necessary project documents on time and track their progress through approval pipelines.
- Prepare and digitally distribute a comprehensive Job Foreman Packet before Pre-Construction meetings.
- Assist the domestic team in creating a project plan and schedule at least one week before the project start.
- Coordinate material orders digitally and verify quotes from suppliers against budgets.
- Draft the initial Site Staging Plan and Material Delivery Schedule within 48 hours of material quote approval for domestic PM review.
- Verify that all necessary safety plans, hazard assessments, and sub-contract agreements are documented and filed before the project begins.
- Coordinate the administrative process of securing permits, insurance certificates, and bonds ahead of the project start date.
- Generate and submit change orders and RFIs within 48 hours of receiving notice from the domestic team.
- Track project progress by compiling weekly reports on hours worked, materials installed, and documented customer issues.
- Review job costs, invoices, and budgets to assist the domestic PM in staying on track financially.
- Update project schedules weekly within the project management software.
- Report project completion status to the Accounting department one week before billing date.
- Draft prompt communications for customers and general contractors to address issues within 24 hours.
- Compile Post-Job Evaluation data and format it for management review within one week of project completion.
- Ensure timely digital submission of all Project Closeout documents and the prompt processing of warranty payments.
- Manage administrative tasks for multiple projects concurrently, ensuring all deadlines are met.
Requirements
What you’ll need- Bachelor’s degree in Business Administration, Construction Management, Project Management, or a related field (preferred).
- 3-5 years of experience in project coordination, administration, or the construction/trade industry.
- Familiarity with construction terminology and standard project lifecycles.
- In-depth administrative knowledge of general construction documentation, contracts, and compliance.
- Ability to read and interpret architectural plans and specifications.
- High proficiency in Google Workspace, Microsoft Office, Buildertrend, and Project Management Software (Procore, BIM360, etc.).
- Strong problem-solving and analytical skills.
- Excellent written and verbal English communication skills.
- Ability to manage time effectively, prioritize tasks, and meet strict deadlines across different time zones.
