About the role

  • Prepare and organize documents for grants (checklists, simple due diligence, draft agreements using templates).
  • Tracking deliverables and timelines.
  • Support implementation of partner projects in line with coalition strategic priorities and shifts.
  • Liaise with the 350 Operations Team on payments and basic paperwork.
  • Schedule and help organize Working Group meetings (send invites, simple agendas, notes, action lists).
  • Support basic logistics for actions, training, and events (bookings, lists, follow-ups).
  • Keep a simple tracker/dashboard of activities, outcomes-in-progress, and grant milestones.
  • Contribute to monthly coalition members’ briefings.
  • Use our checklists for travel, events, and media use (consent, data protection).
  • Log incidents or concerns and alert the relevant Working Group, Steering Committee, and Senior Coordinator when needed.
  • Support the Steering Committee to implement best practice, security, and safety protocols across all levels of coalition communications and organising.
  • Other duties as assigned.

Requirements

  • 1-3 years in coalition/NGO/community organising with strong administrative coordination across multiple stakeholders.
  • Familiarity with grant or subgrant administration, contracting, compliance tracking, and tidy record-keeping.
  • Strong coordination skills: meetings, notes, follow-ups, and keeping people on track.
  • Able to learn and operate systems for procurement, vendor onboarding, grants/reporting portals in line with guidance from the 350 Operations team to ensure seamless management and disbursement of coalition subgrant funding.
  • Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
  • Excellent written and verbal communication skills, with the ability to interact with diverse stakeholders.
  • Proficiency in office software and project management tools.
  • Strong problem-solving abilities with the ability to think fast on your feet and problem-solve in a proactive approach to challenges.
  • Experience in organising meetings, events, or conferences.
  • Experience in minute-taking and tracking actions for effective implementation.
  • Experience working with cross-cultural and remote teams.
  • Excellent fluency in Verbal and written English.
  • Familiar with Online communications systems (Zoom, Slack, Google Channels, etc.).
  • Strong grounding in solidarity, justice, and related movement values.
  • Political awareness of climate justice with its related issues and sensitivity to frontline communities' realities in East Africa.
