• Provide leadership and oversight of all daily payroll operations, ensuring accurate and timely payroll processing
• Supervise payroll staff, establish priorities, assign work, and monitor performance
• Supervise the international tax team and oversee all 1042-S international tax reporting
• Ensure payroll processing complies with institutional policies, collective bargaining agreements, federal and state regulations, and tax requirements
• Review and approve payroll transactions, adjustments, off-cycle payrolls, and special payments
• Oversee payroll reconciliations, payroll tax reporting, deductions, garnishments, retirement contributions, and month-end processing
• Oversee quarterly payroll tax filings at both the federal and state levels

• Develop and execute a multiyear payroll modernization roadmap aligned with Vanderbilt’s mission, growth and operational priorities
• Assess and redesign payroll workflows, procedures, and controls to improve accuracy, consistency, efficiency, and service
• Optimize Oracle Cloud HCM and other enabling technologies to automate processes, reduce manual intervention, strengthen data integrity, and improve employee self-service
• Establish a continuous improvement discipline using process mapping, root-cause analysis, performance data, and clear operational measures
• Lead system enhancements, testing, and adoption while maintaining strong internal controls, segregation of duties, documentation, and regulatory compliance
• Ensure compliance with federal and state wage and hour laws, tax regulations, retirement reporting requirements, and higher education-specific payroll regulations
• Monitor legislative and regulatory changes affecting payroll operations and implement required updates
• Coordinate internal and external payroll audits and respond to audit requests
• Strengthen internal controls and ensure appropriate segregation of duties throughout payroll processes
• Partner with VUIT Oracle team to optimize payroll system functionality
• Collaborate with Finance to ensure accurate payroll accounting, reconciliations, and financial reporting
• Participate in system upgrades, testing, implementations, and process enhancements
• Build strong collaborative relationships across departments to improve service delivery and communication
• Provide coaching, mentoring, and guidance to payroll staff

Director, Payroll Operations

• Processing of daily, weekly, and biweekly payroll for approximately 1500 exempt and non-exempt employees
• Garnishments
• Payroll adjustments

• Taxes to all employees consistent with federal and state wage and hour laws
• Employee Loans
• Commissions
• Client Invoicing ensures the computing, withholding, or deductions associated with new pay is done consistent with state/federal regulations and company policies
• Reviews, analyzes and checks payroll forms and reports for accuracy and makes necessary adjustments or corrections
• Strong Analytical background and knowledge of Time Systems in general
• Liaison to field, internal personnel, and interdepartmental staff to resolve payroll issues and inquiries

Payroll Specialist

• Process payroll for approximately 30 AMSURG surgery centers with individual FEINs across the United States.
• Serve as the primary point of contact for employees and managers who have payroll related questions and concerns.
• Work with the HR and Finance team in center conversions to UltiPro HR/ Payroll Web including attending training sessions and converting current data from payroll provider into the new system.
• Serve as a payroll administrator with responsibility for export of payroll time across multiple locations including employee data entry, employee training, maintenance of system, payroll reporting, and communication with employees.
• Responsible for the timely approval of documented changes entered through the self-service portal.
• Support the input of employee data into UltiPro HRIS for Surgery Center employees.
• Respond to inquiries, set-up, and ongoing research for tax issues across several states and localities.
• Track all activities related to garnishments and wage attachments for multiple states.
• Other special projects as assigned.
• Regular and reliable attendance is required.

• Assist in the preparation, processing, calculation, auditing, and reconciliation of bi-weekly, multi-state payroll for 3,500+ teammates across multiple legal entities to ensure accurate and timely payroll processing
• Ensure payroll data is accurately reported to federal, state, and local taxing authorities while maintaining compliance with all applicable payroll tax regulations and reporting requirements
• Monitor, research, and process payroll tax notices, agency correspondence, and compliance inquiries received from federal, state, and local tax agencies
• Serve as the primary administrator of payroll tax account maintenance including establishing new tax jurisdictions, closing inactive tax accounts, managing tax registrations, and maintaining agency accounts
• Review daily incoming payroll mail, tax notices, garnishment orders, and agency correspondence to ensure timely processing, escalation, and resolution
• Coordinate with taxing authorities, third-party vendors, and internal departments to research issues, resolve tax discrepancies, and ensure timely payment of payroll tax liabilities
• Research, analyze, and resolve teammate payroll tax inquiries, including federal, state, and local withholding concerns, payroll tax adjustments, tax correction requests, and year-end form inquiries
• Process payroll tax corrections, amendments, and adjustments, including W-2C corrections, prior-quarter adjustments, tax recalculations, amended returns, and payroll tax account reconciliations
• Manage and respond to payroll-related Workday cases and service requests from teammates, managers, Human Resources, Legal, Finance, and external agencies within established service level expectations
• Review payroll error reports each pay period and research, resolve, and correct payroll discrepancies before the next payroll processing cycle begins
• Monitor recurring payroll issues and proactively identify root causes to reduce repeat payroll errors and improve payroll accuracy
• Administer all wage garnishments, levies, child support orders, and income withholding orders, ensuring compliance with federal and state regulations and timely processing upon receipt
• Execute quarter-end and year-end payroll tax activities, including reconciliations, balancing, tax filing validation, audit support, and completion of all payroll quarter-end and year-end checklist requirements
• Prepare, review, reconcile, and file federal, state, and local payroll tax returns and related payroll tax reporting
• Participate in payroll year-end activities, including reconciliation and issuance of W-2, W-2C, and other required tax documents
• Maintain payroll tax procedures, process documentation, internal controls, and audit support documentation
• Identify opportunities for process improvement, automation, and operational efficiencies within payroll tax and payroll operations
• Partner with Payroll leadership to reduce existing payroll tax backlogs and ensure sustainable, compliant day-to-day operations
• Compile payroll data and create payroll reports, audit schedules, and tax-related reporting as needed
• Process Powers of Attorney and maintain third-party administrator access with payroll tax vendors and agencies
• Provide backup support to Workday Administrator and the Payroll Manager as needed

Payroll Tax Analyst

• Own and execute bi-weekly payroll for a multi-state, multi-entity healthcare workforce across clinical studios and corporate teams.
• Ensure accurate processing for hourly, salaried, and contractor populations, including multiple pay cycles, rates, and premium structures.
• Manage complex pay components including shift differentials, clinical premiums, overtime, blended rates, state-specific rules, and retroactive adjustments.
• Oversee payroll inputs including time and attendance, PTO, leaves of absence, bonuses, commissions, and off-cycle payments.
• Process and reconcile 401(k) and other benefit-related payroll deductions, including employee contributions, employer matches, and loan repayments.
• Ensure compliance with federal, state, and local wage-and-hour laws, with particular attention to healthcare and state-specific requirements.
• Manage payroll tax setup, filings, deposits, reconciliations, and agency notices in partnership with payroll vendors.
• Own year-end processes including W-2s, 1099s, and all required state and federal reporting.
• Conduct payroll audits, reconciliations, and internal controls to ensure accuracy, compliance, and financial integrity.
• Partner with Finance on payroll accruements, general ledger alignment, and labor reporting for clinical and corporate teams.
• Serve as system owner for payroll and timekeeping platforms, ensuring pay rules, premiums, and state requirements are correctly configured.
• Lead continuous improvement of payroll processes, documentation, and controls to support scale and a strong team member experience.
• Act as a trusted partner to People, Finance, Legal, and Studio leaders on complex payroll and pay practice questions.
