• Designs, plans, and implements a variety of employee services and voluntary benefits within the organization
• Responsible for compliance with HR Standard Operating Procedures
• Effectively manages HR Operations teams to achieve operational excellence targets related to processes
• Manages the work allocation for HR Operations teams and implements mechanisms to quickly adjust work allocation to meet changing business needs
• Proactively assess the impact of changes to HR policies and programs on HR Operations and implements process changes as needed

Manager, Human Resources Operations

• Support a wide range of general HR administrative activities, including reviewing staff employee timesheets, verifying and tracking leave requests, updating employee personal information, and assist processing payments.
• Provide professional and responsive support to staff and faculty.
• Maintain accurate and up-to-date records in relevant HR personnel databases in compliance with labor regulations.
• Collaborate closely with department supervisors and internal team members to ensure smooth and efficient HR operations.
• Administer and monitor time-off and Leave of Absence (LOA) records.
• Maintain and update employee commuting details and address information.
• Assist with various payment requests.
• Handle new hire/leaving form requests as necessary and support on/off‑boarding procedures.
• Update and maintain the monthly staff employee list.
• Assist in creating and issuing various employee certificates.
• Provide general HR administrative support as required.

HR Generalist

• Act as a trusted, neutral HR advisor for managers and employees in Japan
• Coach managers on performance management and feedback conversations, employee retention, conduct and interpersonal challenges
• Interpretation and application of HR policies
• Provide employees guidance where local knowledge, language, and cultural context are essential
• Identify patterns, risks, and emerging issues, and partner with HRBPs to address them
• Own and coordinate HR work with local language requirements
• Serve as the primary HR point of contact for Japan benefits and global mobility
• Identify local legislative or regulatory requirements that require updates to HR policies
• Support HR Business Partners with talent review calibration facilitation, engagement survey insights & local action planning
• Act as the Japan conduit for DEI initiatives and leadership development & learning programs

Regional HR Advisor

• Be the primary HR contact and company representative for Japan
• Facilitate smooth onboarding for local employees; welcome and guide new hires through all local processes
• Manage core HR operations, for example time and attendance, probation tracking, contract changes and offboarding processes
• Address employee and client HR-related issues, escalating and resolving as needed
• Support employee termination / separation process under the direction of the Reporting Manager
• Stay updated on Japanese employment laws and HR trends; communicate relevant updates internally
• Prepare HR documents (e.g., employment agreements, addendums, letters) and maintain accurate personnel records
• Provide administrative/advisory support on the ground, including but not limited to office management, social insurance enrolment, bank account setup, and office equipment sourcing and purchasing
• Collect and organize client documents and mail, maintain document storage, ensure the office remains tidy, liaise with vendors, and manage the company’s safe box as part of office administration
• Support the work visa process thoroughly and in a timely manner
• Participate and take ownership in ad hoc projects as assigned
• Support basic payroll activities in Japan, including data input and coordination with vendors or internal teams to ensure accurate processing
• Maintain general understanding of Japan payroll and social insurance (e.g., health insurance, pension, taxes) to handle employee queries and flag issues for escalation
