Events

• Own end-to-end planning and execution of all SureCost events including tradeshows, webinars and the annual user conference; serve as the primary day-to-day contact with our events management company.
• Manage tradeshow logistics with the help of our Event Logistics Company (booth, shipping, staffing, materials and lead capture) and webinar execution (platform setup, speakers, registration, run-of-show and follow-up).
• Maintain detailed event project plans, timelines and budgets; coordinate promotional materials with our third party events contractors and graphic designer to ensure on-brand delivery.
• Partner with the Marketing Manager to integrate events into the broader campaign calendar; coordinate pre-event promotion across email and social and manage post-event lead workflows in HubSpot with Marketing Operations.
• Track and report on event performance metrics (registrations, attendance and leads generated) and bring recommendations to the Marketing Manager.
• Coordinate with the BDR Manager ahead of events to align on target accounts and outreach strategies; ensure the BDR team has timely lead data and campaign context after each event.

Marketing Events Coordinator

• Create and manage event registration sites in Cvent
• Manage registration sites and provide updates to planning teams/program managers
• Communicate with planners and key business partners on event logistics, registration status, scheduling, attendance and attendee feedback
• Plan for and execute the creation and printing of name badges, agendas, attendee lists, biographies, and all other meeting materials requiring production (tent cards, dinner cards, etc.)
• Research premium items, negotiate pricing and ship to events as necessary
• Invoice management - process invoices and follow up on status of payments
• Research and source venues, premiums, speakers and ad hoc requests
• On-site support for events as needed
• Ensure that feedback from all events is collected, analyzed, and reported to business leads

Meetings & Events Coordinator

• Collaborate with the marketing, communications and product groups to ensure appropriateness of branding
• Design engaging relevant event experiences that resonate with attending audiences and achieve key business objectives

Senior Manager, Meetings & Events

• Own end-to-end execution strategy and logistical for in-person, hybrid, and virtual conferences and events, ensuring alignment with brand and business objectives.
• Develop event-specific plans that define key messages, exhibit design and layout, digital content strategy, audience engagement concepts, and high value sponsorship or advertising opportunities, while leading pre-event planning to ensure stakeholder and customer alignment.
• Provide overall direction and oversight of all conference and event logistics, including budgeting, venue booking, food and beverage, branding and signage, content development, event production, supply ordering, audiovisual coordination, travel logistics, conference materials, and security.
• Create and maintain detailed event execution documentation, including run-of-show schedules, logistics guides, and onsite playbooks, and ensure timely communication and alignment with internal teams supporting or attending events.
• Oversee the development and management of event registration platforms, landing pages, and related communications in accordance with corporate branding standards.
• Manage financial performance for assigned conferences and events by forecasting, tracking, and controlling expenses applying negotiation, budgeting, and vendor management practices to optimize spend and maximize value.
• Lead strong cross-functional and external partnerships by establishing planning cadences with internal stakeholders and external partners to define conference objectives, experience criteria, and execution strategies that supports business priorities and stakeholder goals.
• Own post-event tasks, including expense reconciliation, event evaluation, and reporting of results, insights, and recommendations.
• Define, track, and report on key performance metrics for each conference or event, including attendee feedback and surveys, engagement and participation data, and effectiveness measures and ROI, using insights to drive continuous improvement inform future events planning.
• Implement industry trends and bring new resources, tools, and ideas to team to continuously improve and elevate the attendee/stakeholder experience and strengthen the overall event strategy.
