Bookkeeper

• Overseeing the accounts payable entry process, resolving or querying issues promptly.
• Process supplier invoices, expense claims, and payment runs accurately and on time.
• Monitor & maintain a shared Accounts Payable Mailbox
• Managing New Creditor set-ups, Credit Applications and Change of Details document
• Reconcile supplier statements & accounts, resolving or escalating discrepancies promptly.
• Analyse invoices ensuring accuracy of GL coding; Ensuring strict compliance with internal controls
• Prepare fortnightly and monthly scheduled payment runs to meet deadlines;
• Liaise with internal departments and external vendors to ensure smooth payment processes.
• Assist with monitoring of costs & reporting.
• Assist with month-end closing and financial reporting.

Accounts Payable Officer

• Mentor and train junior Bookkeepers, providing guidance and support to enhance their professional development.
• Maintain accurate and up-to-date financial records for clients, including recording transactions, reconciling accounts, and managing ledgers.
• Prepare monthly, quarterly, and annual financial statements and reports, ensuring accuracy and compliance with accounting standards.
• Reconcile bank statements, credit card statements, and other accounts to ensure accuracy and identify discrepancies.
• Oversee payroll processing, including calculating and recording payroll transactions, ensuring compliance with relevant laws and regulations.
• Manage accounts payable and receivable, including processing invoices, payments, and collections.
• Serve as a trusted point of contact for clients, addressing queries and providing financial insights and recommendations.
• Utilise accounting software Xero to manage financial data and generate reports.
• Ensure compliance with local, state, and federal regulations, and stay updated on changes in accounting standards and practices.

Senior Bookkeeper

• Coordinate daily workflow across bookkeeping, payroll, reconciliations and reporting
• Ensure all work is structured, assigned and tracked in ClickUp
• Monitor team capacity against client service agreements
• Proactively identify and resolve bottlenecks
• Maintain organised documentation within Google Workspace
• Uphold and protect existing SOPs for Australian bookkeeping and management accounting
• Maintain and optimise ClickUp dashboards, workflows and templates
• Ensure full task visibility, traceability and accountability
• Support workflow automation where appropriate
• Champion consistent system usage across the team
• Assist the CEO with operational planning and prioritisation
• Prepare clear operational summaries and workload insights
• Support implementation of internal initiatives
• Track action items and ensure follow-through
• Conduct preliminary quality checks on reconciliations, coding and workpapers
• Monitor scope adherence and flag out-of-scope work
• Assist with oversight of aged receivables and internal tracking
• Step in hands-on when required to keep deadlines on track
• Maintain clean and structured digital filing systems
• Oversee licences, subscriptions and system access
• Support onboarding of new staff into tools and workflows
• Ensure confidentiality and protection of client IP
