Administrative Assistant

• Provide support for all aspects related to employee relations, offering guidance and counseling as needed
• Assist employees and managers with HR initiatives, administrative matters, promotions, organizational changes, and other HR-related concerns
• Provide overall support for HR administrative functions, ensuring smooth operation and accurate documentation
• Assist HR Officers in maintaining up-to-date employee files and ensuring the accuracy of information in the HR system across sites
• Support the preparation of HR-related documents such as employment contracts, performance appraisals, promotions, and holiday balance tracking
• Follow up on medical expenses and salary calculations for both sub-delegations and Kyiv delegation
• Contribute to various HR projects, working closely with HR administrators in both sub-delegations and Kyiv
• Assist the People Unit team in administering programs, procedures, and guidelines to ensure alignment with the organization’s strategic goals
• Support the Payroll Specialist in drafting and preparing monthly payroll information

HR Administrative Assistant

• Support coordination of company equipment deliveries and returns
• Communicate with logistics providers
• Create shipments and track inventory and equipment movements
• Assist with purchase requests, order tracking, and communication with vendors
• Manage basic requests in corporate tools (Email, Microsoft Teams)
• Update internal trackers and send company-wide communications using templates
• Maintain regular reports (Birthday, Anniversary, Probation, etc.)
• Perform data entry and ensure accuracy and consistency in internal systems
• Support internal communications and track employee participation in gift programs
• Update internal databases, maintain records, and ensure all documentation is accurate
• Assist HR in tracking employee participation and monitoring progress
• Provide day-to-day administrative support including data entry and reporting
• Support coordination of branded merchandise and related activities
