Accounts Payable

• Accurately post daily cash receipts from multiple sources and ensure correct application to customer accounts.
• Serve as liaison to regional accounting departments nationwide to address account inquiries, share documentation, and ensure consistency.
• Research unapplied payments, billing disputes, account irregularities, customer setup, and take corrective action.
• Assist with preparation, documentation, and support for internal and external audits.
• Monitor aging reports, contact customers via phone and email regarding open balances, negotiate arrangements, and document collection activities.
• Collaborate with regional offices through regular meetings to coordinate collection strategies.
• Escalate severely delinquent accounts to management or third-party collections as needed.
• Assist with month-end closing responsibilities and comply with deadlines.
• Assist with the onboarding of new acquisitions by supporting the integration of accounts receivable processes, systems, and documentation.
• Follow financial policies and internal controls while identifying opportunities for process efficiency.
• Assist with team training.
• Provide general administrative support, including regular pickup and delivery of mail, answering and directing incoming calls, maintaining office cleanliness, and assisting with various reception and front desk responsibilities.
• Perform regular and predictable work during scheduled and/or agreed-upon times.

Accounts Payable/Receivable Specialist

• Serve as the primary contact and SME for SAP VIM (Vendor Invoice Management) (OpenText) and vendor invoice integration efforts
• Lead design workshops; create/approve business process designs, configuration documents, cutover plans, SIT/UAT plans, and hypercare/support handover materials
• Implement and configure VIM modules: BCC/IES invoice processing, exception handling, COA approval workflows, 3-way match, central reporting, scanning, email channels, and IDoc/input channel setup
• Configure VIM settings and document types (PO / NPO) and facilitate end-to-end implementation and support
• Translate business requirements into robust functional and technical specifications and into configuration or code enhancements
• Develop, maintain, test, and improve related integration code and VIM solutions; adhere to coding standards and develop best practices
• Troubleshoot implementation and post-production issues across building, test, cutover, and production phases
• Collaborate closely with Ariba teams to set up invoice rules on Ariba Network, integrate supplier flows, and validate end-to-end processing
• Prepare and deliver demos, training content, workshops and knowledge transfer for business stakeholders and AP SPOCs
• Coordinate with SAP MM, SAP Ariba functional teams, technical leads, and customer purchasing/AP teams for testing and resolution of functional/technical issues
• Ensure solution compliance and change management coordination with AP/finance stakeholders

Experienced SAP Specialist

• Build, develop, and lead a high-performing Accounts Payable team.
• Own and manage the full accounts payable lifecycle, including purchase orders, invoices, disbursements, and employee expense reimbursements.
• Ensure timely, accurate processing of high-volume transactions while maintaining strong internal controls.
• Review and approve invoices for proper coding, documentation, and alignment with Delegation of Authority requirements.
• Oversee vendor management processes, including onboarding and maintenance of accurate vendor records.
• Lead payment operations across various payment methods, ensuring security and compliance.
• Partner with internal stakeholders to improve coding accuracy and streamline workflows.
• Act as the primary point of escalation for vendor inquiries and discrepancies.
• System owner for expense reimbursement platform, Emburse.

Accounts Payable Manager

• Own the full accounts payable cycle — from purchase order and invoice receipt through approval, payment, and reconciliation.
• Manage and mentor a small team of AP associates. You’ll provide guidance, prioritization support, and performance feedback.
• Enforce Whatnot's purchase policy, ensuring all vendor spend is properly authorized via Zip, contracts are executed via Ironclad, and documentation standards are met. Partner with Finance and Legal to address compliance gaps.
• Oversee payment runs (ACH, wire, check) across US and international entities, ensuring proper segregation of duties and approval controls are in place. Identify and mitigate fraud risk in payment workflows.
• Own AP close activities including accruals, vendor statement reconciliations, and aged payables review. Ensure completeness and accuracy of AP balances across all entities for month-end reporting.
• Optimize AP workflows in NetSuite and Zip, identifying automation opportunities to reduce manual effort and improve accuracy. Lead or contribute to system implementations or upgrades as the company scales.
• Support AP processes across US and international entities (UK, Ireland, Poland, Germany), including multi-currency payments, VAT considerations, and compliance with local payment practices.
• Maintain audit-ready AP documentation, support external auditors with AP-related requests, and contribute to the development of internal controls aligned with SOX or equivalent frameworks.
• Partner with FP&A on cash flow forecasting, with Legal on contract and vendor onboarding requirements, and with business stakeholders to ensure spend is appropriately budgeted and coded.
