Accounts Payable

• Own the end-to-end AP function, including invoice intake and coding, approval workflows, three-way match (PO/invoice/receipt), vendor maintenance, and weekly payment runs (ACH, wires, checks, credit cards), while ensuring timely period close, proper cutoff and accruals, accurate AP-to-GL reconciliations, and compliance with vendor terms, cash flow objectives, and internal approval policies.
• Help build and maintain standard operating procedures and strong internal control environment within the AP function, including segregation of duties, approval hierarchies, and documentation standards, while ensuring compliance with GAAP and internal policies.
• Build and maintain strong relationships with key suppliers and other vendors.
• Ensure the integrity and accuracy of vendor data, including onboarding, vendor master file maintenance, W-9 collection, and appropriate tax and banking information.
• Monitor AP aging, payment terms, and discount opportunities; proactively manage vendor relationships to support favorable terms, timely issue resolution, and continuity of supply.
• Collaborate with cross-functional partners (e.g., Operations, Procurement, IT, HR) to ensure that purchasing, receiving, and expense policies are aligned with AP processes and financial objectives.
• Coordinate AP-related support for financial statement audits and other external reviews, including providing reports, reconciliations, supporting documentation, and explanations of processes.
• Partner closely with Accounting and FP&A to support the monthly close calendar, providing reliable AP schedules, accrual support, and explanations of key variances impacting expenses and cash.
• Partner closely with FP&A to prepare and maintain a weekly 13-week cash flow forecast, ensuring AP-related disbursements are accurately reflected based on vendor terms, payment timing, and purchasing plans, and perform regular back-testing against actual results to identify variances, refine assumptions, and continuously improve forecast accuracy and predictability.
• Assist the CFO in managing and optimizing the Companies’ cash.
• Own the company’s corporate card and expense management program, including system administration (currently Divvy, with potential transition to Finally), user setup and access, policy configuration, monitoring of usage, and ensuring timely submission and approval of employee expenses, while managing and enforcing policies to ensure compliance.
• Support cross-functional and company-wide projects and initiatives as assigned, particularly those involving systems implementations, process redesign, or finance transformation.

Accounts Payable Manager

• Process invoices & receivers from assigned divisions in timely manner
• Pay vendors using various payment methods on an aged schedule
• Handle vendor payment requests
• Reconcile monthly AP reports meeting predetermined deadlines
• Digitally scan and maintain historical AP documents
• Assist in periodic audit information requests
• Provide requested data and/or documents for special projects within and from external departments.
• Participate in physical inventory audits at various plant locations

Accounts Payable Specialist

• Maintain accurate and organized records by executing the Company’s general accounting procedures and practices
• Responsible for daily processing vendor invoices; via 3-way matching as well as maintaining appropriate signatures for service type invoicing without purchase orders
• Daily process cash receipts by applying payments to customer invoices and scanning daily deposits to bank via Digital Check Xpress software, as well as various miscellaneous cash deposits received
• Provide back up support to AR daily invoicing
• Assist with month end duties, including completing AP billing by day two, following month end date
• Assist AR in appropriately maintaining collection activities when customer goes beyond terms; this will include collection telephone calls
• Maintain a collection log call sheet to inform controller, sales, and customer service of said collection, keep daily process cash receipts and collection activities
• Accurately maintain account coding
• Perform daily filing of paperwork as needed
• Prepare and process checks to be signed as well as posting any wire payments, ACH payments, and Health Account Transfers as directed from Accounting Supervisor or Controller
• Assist in maintaining vendor relationships as well as answer payment questions or investigating invoice discrepancies
• Update Flash Report daily for AR and AP and ensure it balances with books for previous day activity
• Monitor AP aging report as well as cash projections from a payment standpoint
• Keep organized daily AP Batches entered into system and give to Accounting Supervisor for review of GL Codes before filing
• Process expense reports for reimbursement, and maintain proper GL accounts and timely entering of receipts for corporate credit cards
• Assist in any other Accounting activities as needed

AP Clerk

• Promote company core values and foster positive relationships with vendors
• Process vendor invoices accurately and timely
• Manage vendor setup and maintenance (W-9s, ACH details, compliance checks)
• Initiate timely payment of invoices using a variety of payment methods (credit card, check, ACH, wire, call-in)
• Manage Vendor Portals (invoice Retrieval and making payments)
• Reconcile vendor accounts regularly
• Resolve invoice discrepancies and vendor inquiries promptly
• Organize and automate AP processes to drive efficiencies, minimize errors and delinquencies
• Support other finance and accounting personnel as necessary
• Support audits by providing documentation and explanations
• Enforce AP policies and internal controls; identify process improvements
• Takes on additional responsibilities and projects as needed to support the success of the team and organization

• Build, develop, and lead a high-performing Accounts Payable team.
• Own and manage the full accounts payable lifecycle, including purchase orders, invoices, disbursements, and employee expense reimbursements.
• Ensure timely, accurate processing of high-volume transactions while maintaining strong internal controls.
• Review and approve invoices for proper coding, documentation, and alignment with Delegation of Authority requirements.
• Oversee vendor management processes, including onboarding and maintenance of accurate vendor records.
• Lead payment operations across various payment methods, ensuring security and compliance.
• Partner with internal stakeholders to improve coding accuracy and streamline workflows.
• Act as the primary point of escalation for vendor inquiries and discrepancies.
• System owner for expense reimbursement platform, Emburse.

• Helping ensure invoices and expenses are processed accurately by reviewing reports, reconciling accounts, and resolving discrepancies
• Reviewing and processing employee and contractor expense reports and cash advance requests
• Managing weekly vendor invoices and supporting vendor account statements
• Reconciling corporate credit card activity and assisting with related questions
• Keeping organized records and documentation to support audits and internal reviews
• Partnering with the team during month‑end close, year‑end audit, and special projects
• Sharing responsibility for incoming mail and other team‑based operational needs

• Process vendor invoices through the AP queue, including review of Direct PO and Contested Hold reports for assigned vendors
• Research and resolve discrepancies on PO‑related invoices (e.g., pricing, quantities, or receipt issues)
• Ensure non‑PO invoices are properly approved and paid in a timely manner
• Manually bill sales orders that do not auto‑bill during the import or posting process
• Review vendor account statements, research past‑due invoices, and reconcile open purchase orders where inventory has been received
• Collaborate with internal teams and external partners to resolve invoice and payment issues
• Respond to vendor inquiries and maintain professional communication via email and phone
• Perform new vendor setup and ongoing vendor maintenance, including ACH confirmations
• Obtain and validate required documentation for vendor setup in compliance with TAKKT guidelines
• Complete projects and additional tasks as assigned by the Accounts Payable Manager

• Lead and optimize the Accounts Payable function, implementing process improvements to increase departmental efficiency
• Develop and execute documented processes for integrating new acquisitions into corporate accounts payable
• Maintain proper internal controls and enforce company policies and procedures
• Plan work assignments, evaluate team performance, and provide direction on procedural and technical challenges
• Guide support staff on complex transactions requiring resolution
• Research and resolve discrepancies in financial documentation before processing
• Ensure proper coding of invoices with accurate general ledger accounts
• Provide invoice resolution assistance to vendors and internal stakeholders
• Support month-end closing tasks, including expense accruals
• Assist with external and government agency audits
• Lead AP process transformation by implementing electronic filing systems and driving AP automation solutions that improve efficiency, strengthen controls, and support scalability
• Optimize the Accounts Payable function, implementing process improvements to increase departmental efficiency
• Drive implementation of corporate credit card and expense reporting solutions and standardization
