Accounts Payable

• Executes and accurately completes in a timely manner the accounts payable cycle.
• Organizes, codes, vouchers, and pays the office’s vendor invoices.
• Effectively helps manage the cash by paying vendors on time, taking advantage of discounts where appropriate.
• Manages and coordinates the payment approval process with designated management.
• Runs/administers paper checks, ACHs, Wires where appropriate.
• Maintains a professional relationship with vendors.
• Provides data to a variety of internal/external customers on request.
• Manages AP mailboxes.
• Assists in preparation of monthly accruals & reconciliations to General Ledger.

Accounts Payable Administrator

• Ensure timely processing of all invoices and credits according to vendor/distributor/brewery terms to increase positive reputation in market and with vendors
• Ensure proper authorization of invoices using approval routing software or matching invoices to POs and goods receipts
• Ensure proper cut-off of invoices for accrual purposes for month end close
• Responsible for generating check and EFT proposals and preparing wire payments on a timely or as-needed basis
• Responsible for voiding payments as needed
• Perform back up duties for other Accounts Payable Coordinators, as necessary
• Responsible for helping to maintain AP master file data
• Responsible for assisting in fulfilling audit requests
• Responsible for following Company policies and procedures while fulfilling the duties of the role

Accounts Payable Coordinator

• Administer, report, audit, and approve travel and entertainment and corporate purchasing card transactions in accordance with company policies, IRS regulations, and internal controls.
• Process accounts payable transactions, including invoices, check requests, early pay requests, uploads, and wire transfers.
• Research and resolve invoice holds, discrepancies, and supplier statement reconciliations.
• Manage and monitor AP Web Expenses and 1099 email inboxes, ensuring timely responses and resolutions of inquiries.
• Partner with AP and cross-functional teams to resolve issues, improve processes, and support AP-related initiatives.
• Maintain accurate documentation, procedures, and internal controls related to T&E and corporate card administration.
• Provide input, research and support for accounts payable projects, audits, and process improvements.
• Assist with special projects and perform other duties as assigned.

AP Coordinator

• Build, develop, and lead a high-performing Accounts Payable team.
• Own and manage the full accounts payable lifecycle, including purchase orders, invoices, disbursements, and employee expense reimbursements.
• Ensure timely, accurate processing of high-volume transactions while maintaining strong internal controls.
• Review and approve invoices for proper coding, documentation, and alignment with Delegation of Authority requirements.
• Oversee vendor management processes, including onboarding and maintenance of accurate vendor records.
• Lead payment operations across various payment methods, ensuring security and compliance.
• Partner with internal stakeholders to improve coding accuracy and streamline workflows.
• Act as the primary point of escalation for vendor inquiries and discrepancies.
• System owner for expense reimbursement platform, Emburse.

Accounts Payable Manager

• Provide administrative and accounting support to the Shared Services Group
• Process credit card transactions through online platforms
• Enter and process non-ERS (Evaluated Receipt Settlement) invoices
• Review and analyze freight files from third-party providers
• Process employee expense reports in Concur
• Post and reconcile Concur-related entries
• Perform monthly account reconciliations
• Assist with financial reporting and analysis as needed
• Support and maintain the 1099 reporting process
• Ensure accurate recordkeeping in compliance with company policies and retention requirements
• Assist with special projects and reporting as needed
• Collaborate with internal teams to improve processes and efficiency

Accounts Payable Specialist

• Manage and process high-volume AP operations across multiple entities.
• Lead and provide oversight of AP team members including reviewing, mentoring, and ensuring accuracy and timeliness.
• Oversee and execute vendor payments, ensuring accurate and timely disbursement of funds in compliance with company policies.
• Maintain and strengthen internal controls over cash disbursements and AP processes to ensure compliance with regulatory requirements.
• Support the monthly financial close process, including AP accruals, reconciliations, and journal entries.
• Manage and support internal and external audit processes, including preparation of audit schedules and responding to auditor inquiries.
• Assist with 1099 reporting, vendor reviews, and year-end compliance activities.
• Identify and implement process improvements to enhance scalability of AP function.
• Be the point person for accounts payable onboarding and integration when new legal entities are added to the holding company structure.

Senior Accounts Payable Associate

• Verify invoices for accuracy and compliance with company policies
• Process payments in a timely and accurate manner
• Maintain accurate records of accounts payable activity
• Reconcile vendor statements and resolve discrepancies
• Research and answer vendor inquiries
• Assist with month-end closing activities
• Develop and maintain filing systems
• Provide administrative support for accounts payable department

• Upload invoices either from email or online to corresponding purchase orders into accounts payable system.
• Request a purchase order set up to Association branches for invoices without corresponding purchase orders.
• Generate report of approved purchase orders for invoice entry daily.
• Review and rectify discrepancies found on invoice batches to meet deadlines prior to posting for payment.
• Set up vendors in accounting software for membership refunds and international stipends.
• Manage and process association utility accounts for water and sewer and gas.
• Set up purchase orders, as directed by Supervisor.
• Assist in month end closing procedures.
• Scan invoices from USPS mailing into Accounts Payable email inbox.
• Respond to all correspondences and inquiries on behalf of the Accounts Payable Team.
• Resolve payment or invoice issues with vendors and Association branches.
• Prepare correspondences to vendors to promote receiving payments electronically by direct deposit (ACH) in conjunction with sending monthly check payments.
• Serve as a backup in facilitating check runs.
• File check stubs and ensure that all stubs remain in chronological sequence.
• Prepare month end utility accruals.
• Process journal entries and accruals Association-wide.
• Other clerical duties that include but not are limited to mailing, scanning, copying, and filing.
• Cross-train in selected duties and responsibilities to provide backup resources to the Accounts Payable Department.
