About the role
Key responsibilities & impact- Manage patient communication through WhatsApp and email, including inquiries, general questions, onboarding support, and follow-ups.
- Collect and organize patient intake forms, consent forms, initial questionnaires, and other required onboarding documents.
- Provide warm, professional, and timely communication to support patient experience, client conversion, and patient retention.
- Schedule, reschedule, and manage patient appointments using the client’s online scheduling platform.
- Coordinate post-visit follow-ups, lab test coordination, and patient instructions or reminders.
- Manage medication and prescription requests by coordinating with the appropriate clinical team members and pharmacies.
- Maintain, organize, and update patient records accurately and confidentially.
- Support medical charting, history-taking, and records management as needed.
- Help ensure timely patient communication, lab coordination, and safe handling of patient information.
- Collect patient payments and assist with basic payment tracking.
- Handle insurance-related tasks, including insurance verification, claims, and coding support, primarily for Hawaii operations.
- Collate receipts and assist with basic bookkeeping tasks.
- Schedule internal business meetings and manage calendars.
- Organize and maintain Google Drive files and documents.
- Provide general administrative and operational virtual assistant support.
- Assist with administrative tasks for the client’s separate Hawaii-based business as needed.
Requirements
What you’ll need- Experience RequirementsHealthcare / Clinical Background: Required. Candidates must have previous experience in healthcare, clinical support, medical administration, patient coordination, or a similar patient-facing healthcare role. A clinical background is preferred, but healthcare-related experience is required.
- Patient Communication Experience: Required. Candidates must have experience communicating with patients, customers, or clients in a professional support role.
- Patient Intake / History-Taking Experience: Required. Candidates must have experience collecting patient information, intake forms, questionnaires, health histories, or similar patient onboarding details.
- Insurance Verification Experience: Required. Candidates must have experience verifying insurance eligibility and benefits, reviewing coverage details, and documenting insurance information accurately.
- Lab, Medication & Follow-Up Coordination: Required. Candidates must be comfortable coordinating lab tests, medication requests, prescriptions, and patient follow-ups.
- Claims & Medical Coding Experience: Preferred. Experience with claims and medical coding is helpful, especially for the client’s Hawaii operations.
- Education: College graduates are preferred, but qualified college undergraduates may also be considered.
- Technology Experience: Candidates must be comfortable learning and using new technology, proprietary systems, and telehealth-related tools.
- Language RequirementsMust have good English speaking skills and strong English written communication skills.
- A slight accent is acceptable as long as the candidate can communicate clearly and professionally.
- Must have at least intermediate-level Bahasa Indonesia communication skills for patient communication.
- Basic RequirementsMust speak and write English clearly and professionally.
- Must have relevant work experience.
- Must be able to provide an NBI Clearance and/or Local Police Clearance before onboarding (mandatory).
- Must be available to attend video meetings with camera on when required.
- Technical RequirementsComputer: Reliable laptop or desktop computer.
- Internet: Stable high-speed internet connection (minimum 25 Mbps).
- Audio: Noise-canceling headset.
- Video: Working webcam for virtual meetings.
