About the role
Key responsibilities & impact- Manage and track deadlines, conditional dates, appointments, lawyers’ calendars, and scheduling
- Prepare status reports summarizing client portfolios
- Prepare routine legal documents and letters from notes, dictation, instructions, and precedents
- Open and close electronic files and maintain detailed matter/client lists
- Maintain the electronic filing system (iManage) for each client matter
- Run monthly accounts and review entries for accuracy and completeness
- Enter dockets into accounting software (3E)
- Manage internal and external communications, including calls, mail, faxes, and email
- Respond to client inquiries and conduct follow-up as required
- Enter and update client contact lists in the CRM (InterAction)
- Work with the Marketing and BD department as required
- Schedule appointments and meetings, book meeting rooms, and make travel arrangements
- Coordinate with internal departments to provide documents and materials on time
- Assess and establish work priorities
- Support colleagues and cover absences
- Perform other administrative duties as assigned
Requirements
What you’ll need- 3–6 years of relevant experience
- At least three years of experience in Information Technology/IP law
- Post-secondary education with a Legal Assistant Diploma and/or Law Clerk certificate
- Proficiency with legal software and MS Office 365, including Word, Excel, Outlook, PowerPoint, and Teams
- Proficiency with PDF software, including Kofax Power PDF or Adobe
- Excellent time management, organizational, and prioritization skills
- Ability to work independently, multitask, and meet tight timelines
- Eagerness to learn new technology and processes and further develop skills
- Excellent attention to detail and diligent proofreading skills
- Strong interpersonal skills and ability to work effectively as part of a team
- Initiative and resourcefulness
- Commitment to providing quality service and work product to lawyers and clients
- Good judgment and ability to exercise discretion with confidential and sensitive matters
