About the role
Key responsibilities & impact- Provide legal administrative support to the Chief Legal Officer, Managing Attorney, and Attorneys
- Prepare draft legal documents and correspondence
- File documents and pleadings with courts
- Draft, review, edit, and prepare routine correspondence and signature documents for attorneys
- Monitor legal correspondence and respond to inquiries from internal and external stakeholders
- Use judgment in receiving, responding to, and referring stakeholder emails
- Track project deadlines and escalate issues as needed
- Prepare written office procedures
- Perform scheduling, copying, scanning, assembling, retrieving, indexing, and purging of files
- Maintain spreadsheets and databases and prepare and distribute mailings
- Identify and maintain processes to improve legal-team efficiency
- Enter legal data points, KPIs, and deadlines into established databases and tracking systems
- Maintain and organize the legal team’s physical and electronic file systems
Requirements
What you’ll need- 2 years’ equivalent experience, including 1 year in the legal field; an Associate or relevant certification may substitute for some experience
- Preference for experience in a law firm or in-house environment with civil litigation or real estate transaction matters
- Adept with technology, including Office365 and databases
- Comfort learning new software systems and technologies
- Familiarity with legal terminology and processes
- Superior proficiency with databases and Microsoft Suite, including Excel
- Preference for experience with Filevine or a similar database
- Excellent organizational skills and ability to establish priorities, schedule activities, complete tasks timely, achieve deadlines, and multitask
- Proven ability to maintain confidentiality in legal matters
- Attention to detail
