About the role
Key responsibilities & impact- Serve as the first point of contact for patients within Valley Health’s physicians’ network
- Provide administrative support to the ambulatory care team through customer service, attention to detail, and interpersonal skills
- Schedule outpatient appointments according to clinic guidelines and use wait lists and other scheduling functions
- Offer alternate providers or locations when appropriate
- Escalate unmet patient needs, emergent situations, and schedule-change requests to the Office Coordinator or Practice Manager
- Process urgent referrals the same day and routine referrals within 72 hours
- Obtain prior approval or authorization and communicate referral appointment instructions
- Greet and receive patients courteously and provide appropriate documents
- Keep patients informed about care delays
- Complete outpatient registration and accurately enter demographic and financial/insurance information into Epic
- Verify insurance eligibility and maintain compliance and regulatory data capture
- Collect and receipt payments and balance the cash drawer
- Answer phones within three rings using the required greeting and record accurate messages or prescription requests in Epic
- Date-stamp, prepare, route, and distribute patient information and correspondence
- Process medical-record release requests and same-day records requests
- Receive, process, and distribute incoming mail
- Protect patient health information and maintain confidentiality
- Provide cross-coverage at other locations when requested
- Maintain office supplies, forms, filing systems, and clinic opening/closing procedures
- Perform other related duties as requested or directed
Requirements
What you’ll need- High School Diploma or equivalent is required
- Associate's degree is preferred
- One year of relevant work experience is required
- Associate's degree may substitute for one year of relevant work experience
- Customer service experience preferred
- Strong computer, customer service, and communication skills required
- Ability to prioritize work
- Ability to handle confidential information and sensitive situations required
- Interpersonal skills to work with diverse people within and outside the organization required
- Proficiency with the Epic system for scheduling, registration, messaging, and patient-information entry
