About the role
Key responsibilities & impact- Coordinate Killam events, including the Annual Meeting, Connector Event, and other awards-related events, workshops, and information sessions
- Schedule meetings, prepare agendas and materials, record meeting minutes, and support event logistics
- Compile reports and recipient information and coordinate communications with internal partners
- Track event timelines, budgets, and vendor relationships
- Coordinate the administration of graduate award competitions, including the Killam Scholarship and Postdoctoral Fellowship competitions
- Compile and organize award applications in collaboration with the Awards team
- Enter and maintain award information in university systems
- Respond to student inquiries regarding awards, application processes, and payments
- Manage and triage FreshService tickets and direct inquiries to the appropriate team members
- Provide administrative support to the Awards team throughout the annual awards cycle
- Coordinate communications with internal partners and provide exceptional customer service to students, faculty, and campus stakeholders
- Prioritize competing deadlines while maintaining accuracy, confidentiality, and professionalism
Requirements
What you’ll need- Post-secondary diploma is required
- 2-3 years of administrative experience in a postsecondary office environment
- Excellent organizational skills with exceptional attention to detail and ability to manage competing priorities
- Strong written and verbal communication skills and ability to interact professionally with diverse stakeholders
- Excellent customer service skills, sound judgment, and ability to maintain confidentiality
- Ability to work independently while contributing effectively as part of a collaborative team
- Strong technical proficiency with Microsoft Office and Google Workspace
- Experience using enterprise systems such as PeopleSoft or similar platforms
- Flexibility and adaptability to thrive in a dynamic, fast-paced environment with changing priorities
