About the role

Key responsibilities & impact
  • Gathers data and information from all teaching areas (both internal and external courses) in order to effectively advise and inform academic leaders in faculties and departments and ensure effective course and timetable decisions.
  • Managing the development of a Course Master Timetable to maximize teaching efficiency, minimize course conflicts, and provide consistent course management across the College
  • Maintain term-by-term schedules for each academic program offered by the Faculties in the College to ensure conflict free schedules, and to assist with optimizing student, instructor and facility schedules.
  • Understands the details in Campus Solutions to be able to problem solve and troubleshoot errors and works with the Exams & Timetabling Centre of Expertise (ETT) to do so when warranted.
  • Monitors enrollment pressures to advise academic leaders on strategic timetable management and to implement appropriate changes to the course schedule throughout the registration cycle.
  • Acts as the first point of contact for all course scheduling and timetabling matters
  • Responds to specific inquiries from faculty and academic leaders. Provides information related to class scheduling and timetabling for the entire college.

Requirements

What you’ll need
  • Undergraduate degree
  • Demonstrated ability to develop positive and professional working relationships with both internal/external clients, and stakeholders at all organizational levels.
  • Ability to work independently and to build and maintain professional working relationships as a trusted team member and positive representative of the College
  • Advanced knowledge and proficiency in Google Suite, PeopleSoft (Campus Solutions) and Microsoft Office, especially Excel, is essential.
  • Strong knowledge of University policies and procedures
  • Excellent communication (oral and written), interpersonal and organizational skills. Proven ability to multitask, prioritize, work independently and develop strategies to solve problems while maintaining superior accuracy.
  • Strong analytical and organizational skills, including problem assessment and escalation.
  • Demonstrated excellence in paying attention to detail.
  • Two years’ experience in a related role.
  • Ability to work with multiple stakeholders, and to coordinate competing demands.
  • Knowledge of admissions process, academic program requirements, and calendar changes.
