About the role

Key responsibilities & impact
  • Provide comprehensive financial administrative support to the Clinical Trials Office (CTO), ensuring smooth day-to-day operations.
  • Initiate and process all purchase requisitions, purchase orders (POs), and invoices through SupplyNet, ensuring accuracy and compliance with university policies.
  • Prepare, process, and track invoices and billings; follow up on accounts payable (A/P) and accounts receivable (A/R) to ensure timely payments and collections.
  • Initiate vendor payments and provide advice and guidance to faculty and staff on setting up payments and invoices.
  • Maintain and reconcile operating, research, and endowment accounts on a regular basis, ensuring general ledgers are accurate and up-to-date.
  • Prepare and post journal entries, ensuring all financial transactions are properly recorded in accordance with university standards.
  • Review individual transactions and supporting documentation for accuracy, policy compliance, and appropriate authorizations; correct errors and troubleshoot transactional issues, escalating broader or more complex issues to the Staff Service Centre or assigned Financial Partner.

Requirements

What you’ll need
  • University Degree supplemented by 3-5 years of research administration and coordination experience
  • Proven experience with the tri-council grant application processes, particularly CIHR, is a strong asset.
  • Training in QuickBooks accounting software and project management is an asset.
  • Familiarity with clinical trial processes, research networks, and Learning Management Systems (LMS) is highly desirable.
  • Excellent computer skills including proficiency in use of database, spreadsheet and word processing software.
  • Strong skills with U of A applications are preferred (Google, PeopleSoft, Bear Tracks, ARISE, Alfresco, APS appointment process, etc.).
