About the role
Key responsibilities & impact- Support in collecting, processing and organizing data and developing reports, summaries, and presentations
- Provide administrative support, including support with organizing meetings and preparing and distributing agendas and documents for various internal meetings and follow-up with action items
- Support with drafting miscellaneous documents such as briefs for engaging external counsel and support with managing billing and invoicing for legal services
- Develop and manage playbooks and trackers such as legal spend tracker and licensing tracker
- Support with legal documents (document conversion, unlock/edit protected files, format documents, generate redline comparisons, incorporate edits, produce final execution ready, and initiate final contracts for signature via DocuSign or other electronic signature platforms)
- Proactively identify opportunities for process improvement and efficiency gains in data collection, processing, and presentation development
- SOX control responsibilities may be part of this role, which are to be adhered to where applicable
Requirements
What you’ll need- Minimum 5 years of experience in an administrative support and coordination role
- Advanced proficiency with Microsoft Office applications (Word, Excel, Outlook) and standard AI tools
- Minimum of three years of experience in a related position supporting a team of professionals is required
- Paralegal background is a plus
- Bachelor’s Degree or equivalent experience is preferred
- Excellent organizational skills and attention to detail
- Excellent written and verbal communication skills
- Proactive behavior, showing initiative and being action-oriented
- Ability to multi-task, prioritize and work efficiently
- Ability to work independently, self-starter, energetic
- Ability to perform at high levels in a fast-paced, ever-changing work environment
- Must be able to shift gears easily and feel comfortable wearing multiple hats
