About the role
- Oversee incoming and outgoing submittals, responses, correspondence, and documentation.
- Ensure documents are properly received, reviewed, categorized, tracked, archived, and accessible per agency policies.
- Monitor team performance, workloads, and deliverables across multiple concurrent projects.
- Develop, implement, and improve document control processes, standards, and workflows.
- Coordinate with internal and external stakeholders to meet document control requirements and project priorities.
- Proactively identify, resolve, and communicate issues, risks, and progress to management and project stakeholders.
- Perform quality assurance, quality control, and audits to maintain document repository standards.
- Ensure compliance with document control, records management, and retention policies.
- Mentor team members and promote continuous improvement, efficiency, and customer service excellence.
- SOX control responsibilities may be part of this role, which are to be adhered to where applicable.
Requirements
- Bachelor’s degree in Engineering, Architecture, Construction Management, or a related field.
- Minimum five (10) years of experience as a Document Control Manager.
- At least three (5) years of prior experience as a Document Controller within engineering and/or construction environments.
- Proven experience managing document control for large-scale infrastructure projects, preferably in transportation.
- Excellent verbal, written, interpersonal, and organizational communication skills.
- Strong analytical and problem-solving abilities, with experience in issue resolution, reporting, and prioritization.
- Demonstrated leadership skills, including team management, mentoring, and cross-functional collaboration.
- Ability to manage multiple projects simultaneously in a fast-paced environment with a high volume of submissions.
- Requires a detailed knowledge of industry standards and methods.
