About the role
- Apply incoming customer payments (checks, credit cards, electronic transfers) to invoices in NetSuite
- Respond to customer inquiries about payments, invoice discrepancies, cancellations, balances, and document requests via email
- Review and distribute incoming mail, organize customer checks and financial documents
- Review and action telephone answering service messages
- Maintain and update financial records and member data in CRM systems (Salesforce and HubSpot)
- Assist with daily and monthly reconciliation of customer accounts
- Assist the Central Support Team with general member inquiries via Intercom ticketing system
- Provide administrative and financial support to Sales and Project Management teams
- Report directly to the Central Support Desk Success Manager and work PST hours
Requirements
- 1–3 years of accounting, bookkeeping, or finance-related administrative experience
- Familiarity with CRM systems such as Salesforce and HubSpot preferred
- Experience working with accounting or financial tools (e.g., QuickBooks, NetSuite, or similar)
- Proficiency in Microsoft Excel and Google Sheets for data tracking and reporting
- Excellent attention to detail and organizational skills
- Strong written and verbal communication skills
- A team player with a service-oriented mindset and the ability to multitask in a fast-paced environment
- Experience with Docusign, Jira, or Intercom is a plus
