Provide customer service and support to new and existing clients, caregivers, and family members.
Support and provide coverage for all front office functions, including greeting and checking-in clients and visitors.
Coordinate psychiatric mental health services and facilitate access to care.
Answer, screen, and transfer incoming calls; take and forward messages.
Collect and log payments/charges and pursue collections of missed payments as notified by Billing.
Perform brief intake interviews with new or returning clients, check insurance eligibility, and schedule appointments.
Ensure collection and completion of client registration forms, consents, releases of information, and insurance card copies.
Call, text, and/or email clients to remind/confirm appointments and conduct pre-visit health screenings and follow-ups.
Document canceled/missed appointments and route to appropriate staff.
Collect and prepare outgoing mail; order office supplies; maintain lobby and restrooms.
File documents into client charts and assist Medical Records with retrieval of missing documentation.
Provide data entry, scanning, electronic filing, fax handling, mail sorting, and other administrative support.
Conduct outreach to referral sources, handle admissions/referral screening, program enrollment, and triage with Clinical Director.
Perform case management tasks including screening interviews, treatment coordination, and follow-up activities.
Create Parent Packets for school-based referrals and conduct telephonic outreach to parents/guardians within 24 hours of referral.
Collect and input required demographic, insurance, and client health information into the agency EMR and Referral Tracking Log.
Verify insurance coverage/eligibility and ensure method of payment; monitor Provider Capacity Spreadsheet.
Communicate regularly with clinical therapists and supervisors regarding referral/intake status; schedule first available appointments with assigned providers.
Meet at least monthly in-person in Santa Fe with management to report on SBMH referrals and outreach.
Participate in clinical seminars, supervision, CQI meetings, trainings, compile reports, and perform additional duties as assigned.
Requirements
Bi-lingual/Bi-cultural English and Spanish, preferred.
Obtained a Criminal Records Clearance (local, state, and FBI).
Must be a minimum of 21 years of age or older.
High School Diploma or GED required.
Bachelor’s degree in relevant human services field preferred.
Excellent typing, organizational, written and verbal communication skills required.
Familiarity with Google Suite, Adobe Acrobat, and Microsoft Office Suite.
Demonstrated ability to accomplish tasks within established deadlines.
Demonstrated ability to consistently establish positive relationships, and to work effectively and cooperatively with clients, families, colleagues, staff, and community members.
Must be computer literate for use of computerized data systems, software applications, and reporting, etc.
Must also have and maintain a clean driving record and active auto insurance coverage.
