About the role
- Providing comprehensive administrative support for the VP, Regional Marketing, and global downstream segment leaders for the IP&SS business
- Supporting and proactively anticipating work needs of the global downstream marketing leadership teams
- Scheduling and supporting on- and off-site meetings, video conferences and teleconferences, including coordinating logistics and preparing meeting environments
- Creating and/or compiling meeting materials including agendas, pre-read material, presentations, surveys, and meeting summaries. Briefing on items for consideration.
- Supporting organization employee engagement activities
- Supporting governance of marketing and corporate policies by maintaining documentation, updating playbooks, and helping ensure teams adhere to established workflows and standards
- Performing administrative duties such as coordinating travel, managing calendars, reviewing and routing incoming correspondence, database management, expense reporting, tracking and monitoring budgets, and preparing reports
- Suggesting and implementing improvements to office and department procedures, methods, and quality goals
- Managing confidential, sensitive and restricted business information, and supporting executive level professionals
- Providing administrative project support for major marketing initiatives (e.g., VOC programs, product launches, and marketing campaigns) by organizing timelines, managing logistics, and coordinating activities for successful execution
- Facilitating communication flow across the IPSS global marketing teams by organizing touchpoints, circulating updates, and ensuring leadership has timely access to information for decision‑making
Requirements
- High School Diploma/GED from an accredited institution
- Minimum of 5 years of combined experience in an administrative assistant function, secretarial, and/or clerical role in a private, public, government or military environment
- Bachelor’s Degree or higher from an accredited university AND 3 years of combined experience in an administrative assistant function secretarial, and/or clerical role in a private, public, government or military environment
- Advanced proficiency in MS Office including Outlook, Word, Excel, and PowerPoint
- Highly developed written and oral communication skills
- Demonstrated ability to balance multiple priorities
- Strong attention to detail in all tasks and documentation
