About the role

Key responsibilities & impact
  • Shadow the Global Commercial Finance across meetings, travel, and decision cycles, absorbing context, flagging risks, and driving follow-through
  • Act as a trusted proxy: attend leadership meetings for both executives, synthesize takeaways, and ensure nothing falls through the cracks
  • Prepare briefing materials, talking points, and pre-reads for C-suite and board-level engagements
  • Support communication between leadership and departments
  • Conduct research, analysis, and business planning activities
  • Handle confidential and sensitive matters with discretion
  • Act as a trusted advisor and problem-solver for executive leadership
  • Own and ruthlessly prioritize complex, ever-shifting calendars across time zones
  • Triage inboxes, draft responses, and escalate with judgment, knowing what each executive needs to see and when
  • Coordinate domestic and international travel end-to-end, including logistics for high-stakes external meetings
  • Design and run meeting agendas for executive team sessions, leadership offsites, and cross-functional reviews
  • Track action items, hold stakeholders accountable, and close loops
  • Liaise across Finance, HR, and the broader C-suite to keep initiatives moving
  • Monitor organizational goals, KPIs, and operational performance
  • Improve internal processes and drive operational efficiency

  • Proven ability to operate at pace in a fast-moving, high-pressure environment —ideally in finance, aesthetics, or a similarly demanding sector
  • Exceptional organizational skills with the ability to manage competing priorities across two principals
  • Strong business acumen, comfortable in commercial finance discussions and able to engage substantively with strategic topics
  • Discretion and sound judgment with confidential information
  • Excellent written and verbal communication; comfortable drafting executive-level correspondence
  • High EQ, low ego, you lead through influence, not authority
  • Background in finance, consulting, or corporate strategy
  • Experience supporting globally distributed teams
  • Familiarity with executive tooling (e.g., scheduling platforms, productivity suites, travel management systems)
