About the role
Key responsibilities & impact- Research prior translation projects, instrument records, and licensing documentation to support COA instrument profiles and summary reports
- Conduct searches for licensing and permissions information using internal repositories, document archives, web-based research, and direct outreach as needed
- Collect, organize, and maintain accurate instrument‑related data to ensure conformance with client and regulatory requirements
- Support the preparation of licensing quotation components for inclusion in LV project quotes
- Process standard licensing and permission requests and track approvals and documentation
- Communicate with clients to obtain project specifications and requirements to prepare accurate and timely LV quotes
- Research prior LV projects to identify duplication opportunities or archive discounts
- Prepare and process LV project quotes and job orders of basic to intermediate complexity, including word counts, formatting considerations, and timeline estimates
- Coordinate project setup across internal systems, spreadsheets, logs, and databases in accordance with standard procedures
- Provide consultation to clients regarding project changes, priorities, and timelines
- Adhere to company Quality Management System (QMS) requirements, including ISO 9001 and ISO 17100 standards
- Coordinate with Finance to support accurate invoicing and payment processing
- Maintain accurate project documentation, reports, and status updates for internal and client reference
- Contribute to process improvement initiatives and special projects as assigned
Requirements
What you’ll need- Bachelor’s degree in Business, English, Foreign Language, Library Science, Life Sciences, or a related field; or equivalent combination of education and experience
- 2–4 years of experience in project planning, licensing coordination, translation services, or a related operations role
- Familiarity with COA instruments, linguistic validation, or clinical research environments preferred
- Prior experience with vendor coordination or translation workflows strongly preferred
- Working knowledge of LV project planning, licensing processes, and translation workflows
- Ability to research, analyze, interpret, and summarize information from multiple sources
- Ability to manage multiple projects simultaneously in a deadline‑driven environment
- Proficiency with standard business software (e.g., Word, Excel, PowerPoint, Adobe Acrobat, Office 365) and ability to navigate internal databases and systems
- Ability to work independently while collaborating effectively within a team
- Ability to maintain confidentiality and handle sensitive information appropriately.
