About the role

Key responsibilities & impact
  • Own task breakdown: Take feature requirements and break them into clear, actionable tasks that developers, data analysts, or other teams can execute without confusion.
  • Manage the backlog: Maintain a 7-day forward-looking backlog at all times, ensuring the team always knows what's next.
  • Ensure task quality: Every task you create must include Why (business reason), What (exact requirements), Acceptance Criteria (how we know it's done), Definition of Done (technical checklist), and corner cases covered.
  • Work with the Project Owner: Translate high-level product strategy into detailed execution plans.
  • Keep everything tracked: 100% of tasks live in our task management system - zero work happens outside the system.
  • Achieve 90%+ quality rate: Your tasks should rarely need revisions because they're complete and clear from the start.

Requirements

What you’ll need
  • 1–2 years in project coordination, product operations, or task management roles.
  • Hands-on experience with task management tools (Jira, Asana, ClickUp, Linear, or similar).
  • Experience working with AI tools or AI-related product features.
  • Proven ability to write clear, detailed documentation or task descriptions.
  • Track record of working in structured, process-driven environments.
  • Exceptional attention to detail - you naturally think about edge cases, corner scenarios, and 'what could go wrong'.
  • Strong written communication - you can explain complex requirements clearly and concisely without ambiguity.
  • Fast learner - you can absorb new processes and frameworks in days, not weeks.
  • Structured thinking - you love systems, frameworks, and bringing order to chaos.
  • High energy and work ethic - ready to work intensely, especially during your first 2 weeks of onboarding.
  • Ownership mindset - you don't wait to be told what to do; you proactively identify gaps and solve problems.
  • Comfortable with fast pace - you thrive in environments where priorities can shift and speed matters.
  • Precision-focused - you get genuine satisfaction from creating perfectly structured, unambiguous tasks.
  • Fluency in English and Russian/Ukrainian.
