About the role

Key responsibilities & impact

Manage incoming client intake, including referral review, documentation collection, eligibility verification, system entry, and initial-service scheduling
Process high volumes of referrals accurately, prioritizing work and meeting turnaround expectations
Communicate professionally and supportively with families, caregivers, and referring providers
Ensure regulatory, clinical, and operational documentation is complete before services begin
Track onboarding status, follow-ups, and outstanding needs across multiple platforms
Coordinate smooth handoffs and service readiness with team members
Provide expectations and guidance throughout the onboarding journey via phone, email, and system messages
Help families navigate paperwork, insurance requirements, and pre-service tasks
Escalate complex or sensitive needs to the Director of Client Engagement or Clinical leadership
Maintain data quality across CRM, intake systems, and workflow tracking tools
Review intake information for completeness, accuracy, and compliance
Identify workflow inconsistencies or delays and suggest improvements
Partner with Inbound Engagement, Central Scheduling, and Clinical teams
Communicate client readiness, barriers, and caseload priorities to internal stakeholders
Support initiatives to reduce onboarding delays and improve client engagement

Requirements

What you’ll need

3+ years of experience in healthcare, behavioral health, developmental services, care coordination, or a similar high-volume service environment
Experience working within large, multi-site systems or complex operational environments
Demonstrated success managing high caseloads, competing priorities, and rapid turnaround expectations
Strong understanding of healthcare intake processes, insurance workflows, and documentation requirements
Excellent verbal and written communication skills with empathy, professionalism, and clarity
High proficiency with CRM platforms, intake systems, and workflow management tools
Strong organizational skills and keen attention to detail and accuracy
Experience supporting autistic individuals or families in developmental, behavioral health, or therapeutic settings preferred
Knowledge of payer requirements, authorizations, and eligibility processes preferred
Experience in a growing or evolving organization with continuously refined processes preferred
Bilingual proficiency preferred
Must reside within the United States
Must be available to work 10–7 PM CT
Must be willing to complete and pass a background check and fingerprinting prior to employment
