About the role

Key responsibilities & impact
  • Manage the calendar, priorities and commitments of the Executive Administrator, ensuring alignment with the organization’s needs
  • Prepare, organize and support meetings, including supporting documentation and follow-up (record key points whenever applicable);
  • Ensure the management and triage of communications, correspondence and sensitive information;
  • Organize executive documentation, presentations and supporting materials;
  • Liaise with different internal departments and external stakeholders to collect information and follow up on matters;
  • Support the preparation of institutional meetings, events and relevant initiatives, including in-person attendance when required;
  • Contribute to the continuous improvement of organization and executive support processes.

Requirements

What you’ll need
  • Bachelor’s degree in Management, Law, International Relations, Administration or a related field;
  • 2–5 years of professional experience in executive support or similar roles;
  • Experience in demanding environments, managing multiple priorities;
  • Strong organizational and planning skills with excellent attention to detail;
  • Excellent written and verbal communication skills;
  • Fluency in Portuguese and English (reading, speaking and writing);
  • Proficiency with productivity tools (Microsoft Office, SharePoint and digital productivity tools, including AI-based tools).
